Work Schedule:
Monday - Friday, 8:00 AM - 5:00 PM; occasional early morning, evening and/or weekend hours.
Department:
The Office of Graduate Studies within the Division of Academic Affairs is the central resource for graduate education on our campus. It oversees admissions, enrollment, degree progress and graduation to provide comprehensive support for all graduate students.
Under the supervision of the Executive Director of Graduate Studies, the Graduate Admissions Evaluator I works closely with an Evaluator II to apply CSU and university policies to evaluate postbaccalaureate and graduate program applications to CSUF. The evaluator reviews academic records against criteria for admission, including verification of subject requirements, institutional accreditation, GPA, test scores and other admission criteria. Responsibilities also include verifying receipt of all transcripts, test scores and other required documentation for admission;
using People Soft/CMS to update core requirements, GPA, admission decisions, checklist items, registration holds and admission comments; evaluating international transcripts and researching extensively to determine acceptability of foreign institutions, coursework, grading conversion, GPA calculations and English language proficiency scores. Additional duties include reviewing records and admission reports, maintaining security of academic records, interpreting campus and CSU admission requirements, assisting with prospective student inquiries, supporting graduate advisors through admission processing, attending recruitment and orientation events, and other duties as assigned.
Qualifications
- Completion of a formal training program in academic records evaluation or one year of academic records evaluation experience, or a 12‑month combination of training and experience related to academic records evaluation.
- Knowledge of the format and interpretation of course records and transcripts of institutions of higher education.
- Knowledge of authenticating course credits and comparing records of differing formats, such as foreign records.
- Knowledge of campus curriculum requirements for majors, minors, terminal degrees and special program designations.
- Knowledge of campus resource guidelines for making determinations using various criteria.
- Ability to be thorough, consistent and accurate in the interpretation of records against criteria.
- Ability to comprehend and interpret complex regulations or requirements and to apply them in the evaluation process.
- Ability to maintain resources which document and update criteria.
- Ability to explain criteria and evaluations to others.
- Ability to make accurate records.
- Ability to organize work to meet deadlines.
- Ability to safeguard the confidentiality and security of records.
- Background check (including a criminal records check) must be completed satisfactorily and is required for employment.
- Knowledge and experience working with People Soft.
- Understanding of graduate student policies and procedures.
- Equivalent to graduation from an accredited four‑year college or university with a bachelor’s degree in a job‑related field.
