Under the direction and supervision of the Associate Director of the Small Business Development Center (SBDC), the Accounting Analyst provides comprehensive accounting, bookkeeping, and grant/contract administration support for the department. This position is responsible for maintaining accurate financial records, preparing and analyzing financial reports, and ensuring compliance with grant and contract requirements. The Accounting Analyst supports the SBDC's mission by providing financial oversight across multiple accounts and funding sources, coordinating with university departments, and assisting in budgetary planning and forecasting.
This role also provides support in administrative operations and participates in various departmental projects as assigned.

- Prepare, process, track, and maintain records of contracts, grants, purchase orders, check requests, deposits, credit card payments, and disbursements for SBDC, obtaining approval of authorized signers for all disbursement requests.
- Assign transaction codes and post data to journals, registers, and ledgers using accounting software.
- Prepare and maintain contract and program accounts in Excel and other electronic spreadsheets, ensuring internal control procedures are followed.
- Reconcile all accounts against ASC financial reports on a bi-weekly basis; review and compare accounting documents such as invoices, purchase orders, and bills for consistency and accuracy.
- Prepare income and expense reports, balance reports, and periodic financial summaries for review and approval by the Associate Director.
- Analyze and interpret financial data to support program and financial planning decisions, including budgets and forecasting.
- Provide account financial status reports for project managers as needed and update project journals on a regular basis.
- Identify, trace, and correct accounting errors; resolve discrepancies and obtain clarifying data as needed.
- Serve as a key resource for SBDC grant and contract administration, providing functional expertise in post-award processes.
- Monitor project milestones and their fiscal implications across all SBDC research projects, contracts, and grants.
- Assist with grant reporting requirements, ensuring accurate and timely submission of financial data to funding agencies.
- Coordinate with the CSUF ASC Sponsored Programs staff and other university units to ensure compliance with grant and contract terms.
- Obtain all needed pre-approved funding requests in accordance with university and grant/contract policy.
- Assist in the preparation and review of contract processes with SBDC vendors and service providers, subject to Associate Director approval.
- Deliver contract, bookkeeping, and other materials to and from CSU Fullerton Auxiliary Services Corporation, the Cal State Fullerton Philanthropic Foundation, and other third parties as needed.
- Maintain complex, interrelated financial and administrative filing systems, ensuring confidentiality and secure recordkeeping of all contractual and financial documents.
- Coordinate with multiple departments to ensure prompt payment, including follow-up with ASC staff to ensure invoices, check requests, and purchase orders are processed in a timely manner.
- Assist in preparing periodic reports as needed.
- Other duties as assigned.
- Experience with grant or contract financial administration, preferably in an educational or research environment, is highly desired.
- Experience preparing Income Statements, Trial Balance Reports, and Journal Ledger Account Reports, as well as processing receivables and payables.
- Advanced proficiency in Microsoft Office Suite, particularly Excel and Word; experience with Adobe Acrobat.
- Experience maintaining and reconciling multi-agency or multi-account financial records.
- Ability to perform account reconciliation, balancing, and financial reporting with a high degree of accuracy.
- Strong analytical skills with the ability to identify, trace, and resolve discrepancies.
- Demonstrated ability to manage multiple priorities and meet deadlines with minimal supervision.
- Excellent written and verbal communication skills; ability to communicate effectively with staff, university departments, and external agencies.
- Demonstrated ability to maintain confidentiality and exercise sound judgment in handling sensitive financial information.
EDUCATION:
- Minimum Bachelor's Degree in Accounting, Finance, Business Administration, or a related field preferred.
PHYSICAL DEMANDS:
Prolonged sitting in front of computer. Walking, talking, hearing, pulling, bending, may carry 10-15 pounds of objects/material, not exposed to extreme noise level, use hands to finger, handle, or feel, reach with hands or arms, stoop, kneel, taste or smell.
