Job Summary

CT Mechanical is seeking a proactive, highly organized, and technology-comfortable HR Administrator to support the administrative operations of Human Resources. This is an entry-level HR role for someone who’s detail-oriented, professional with confidential information, and eager to grow in HR through hands-on administrative ownership.

Key Responsibilities

HR Records, Documentation, and general HR/Office Administration

  • Maintain employee records and ensure HR documentation is accurate, complete, and up-to-date (digital and physical filing as required).
  • Complete HR system updates and data entry for employee lifecycle changes (new hires, status changes, role changes, separations, personal info updates, etc.).
  • Maintain office clean environment and engagement activities like in office events and coordination efforts
  • Maintain inventory and orders for all office supplies
  • Point of contact for all guests who enter office, and direct to appropriate personnel.

New Hire Onboarding Administration

  • Administer onboarding workflows from “accepted offer” through Day 1 readiness using checklists and deadlines.
  • Assist with recruiting orientation, documentation, and itinerary alignment.
  • Track completion of onboarding forms and ensure documents are stored correctly and entered into HR systems.
  • Coordinate internal onboarding steps with HR, IT, payroll/finance, and leadership as needed to ensure readiness.

Employee Offboarding Administration

  • Administer offboarding workflows using checklists to ensure separation steps are completed accurately and on time.
  • Coordinate access removal requests with IT and confirm completion per process.
  • Track and document return of company property (phones, tablets, keys/badges, uniforms, and other issued items as applicable).
  • Ensure separation documentation is completed, filed, and reflected accurately in HR systems.
  • Support leave documentation workflows by coordinating required forms, tracking status, and maintaining records per established process and confidentiality standards.

Technology & Device Initiation Coordination

  • Serve as the HR coordination point for initiating new-hire device requests (cell phones/tablets) and partnering with IT for setup.
  • Maintain device assignment documentation (issued to, date issued, return status) and ensure records are complete.
  • Use Microsoft tools daily, including Microsoft 365 applications (Outlook, Excel, Word, Teams).

Role Requirements (Entry Level)

  • No degree required.
  • High school diploma or GED required (or equivalent work experience).
  • Nice to have:
    Associate’s degree (AA) in Business, HR, or a related field.
  • Comfortable with technology and learning new systems; confident with email, calendars, and digital documentation.
  • Proficiency with Microsoft 365 (especially Outlook and Excel).
  • Strong organization, attention to detail, and follow-through with checklists and deadlines.
  • Professional communication skills and discretion with confidential employee information.
  • Dependable, service-minded, and willing to learn and grow in HR.
