Position Overview:
We are seeking a detail-oriented, high-energy Front Desk Coordinator to serve as the face of our title company. This isn't just a "sitting at the desk" role; you are the air traffic controller for our real estate transactions. You will balance a welcoming professional presence with the technical demands of opening new title files and executing post-closing administrative duties.
The ideal candidate thrives in a fast-paced environment where "attention to detail" isn't just a buzzword—it’s the difference between a smooth closing and a delayed one.
Key Responsibilities .- The First Impression:
Greet clients, realtors, and lenders with a professional and welcoming demeanor. - Communication Hub:
Manage a multi-line phone system, routing calls accurately and taking detailed messages. - Closing Room Prep:
Ensure closing rooms are pristine and stocked with necessary supplies (pens, water, snacks) before and after each signing.
- Data Integrity:
Intake new contracts and orders, entering them into our title software Qualia with 100% accuracy. - Initial Outreach:
Request missing information from agents or lenders and introduce our team to the parties involved in the transaction. - Search Orders:
Coordinate with abstractors to order initial title searches.
- Recording:
Prepare and submit documents for electronic recording or physical filing at the county clerk’s office. - Policy Production:
Assist in the issuance of final Title Insurance Policies to owners and lenders. - Disbursements:
Coordinate the delivery of commission checks and closing packages via courier or mail. - File Finalization:
Scan and archive completed files, ensuring all digital folders meet compliance standards.
- Experience:
1–2 years in a professional office environment (Title, Real Estate, or Law firm experience is highly preferred). - Tech-Savvy:
Proficiency in Microsoft Office Suite and the ability to quickly learn industry-specific title software. - The "Eagle Eye":
Exceptional proofreading skills; you should be the person who catches a typo in a 50-page document. - Multitasking:
The ability to remain calm and organized while the phone is ringing and a client is walking through the door. - Reliability:
Since you "open the house," punctuality is non-negotiable.
