Administrative Assistant - Skilled Nursing Facility
The Administrative Assistant supports the daily administrative and Human Resources operations of the skilled nursing facility. This position serves as a key support role for employee onboarding, recruitment, personnel records management, scheduling coordination, and general office administration. The ideal candidate is organized, professional, detail-oriented, and able to maintain confidentiality in a healthcare environment.

Essential Duties and Responsibilities:
Human Resources Support- Prepare onboarding paperwork and new hire orientation materials
- Maintain employee personnel files and ensure documentation is complete and compliant with Florida healthcare regulations
- Track employee licenses, certifications, CPR renewals, and mandatory in-service training requirements
- Assist with background checks, drug screenings, and employment verification processes
- Support payroll and timekeeping functions by reviewing attendance records and processing time-off requests
- Respond to employee inquiries regarding policies, benefits, and general HR procedures
- Maintain confidentiality of employee and resident information in accordance with HIPAA regulations
- Answer and direct phone calls, emails, and visitor inquiries in a professional manner
- Maintain office supplies, filing systems, and administrative records
- Prepare reports, spreadsheets, correspondence, and meeting materials
- Coordinate meetings, orientations, and staff training schedules
- Support department managers with clerical and administrative tasks as needed
- Assist with compliance documentation for surveys, audits, and inspections
- Promote a positive and professional work environment
- Assist with employee recognition activities and staff events
- Ensure compliance with company policies and facility procedures
- High school diploma or equivalent required;
Associate degree preferred - Minimum one (1) year of administrative or HR experience preferred
- Experience in a healthcare, long-term care, or skilled nursing environment preferred
- Knowledge of basic HR practices and Florida employment regulations preferred
- Proficiency in Microsoft Office and HR/payroll software systems
