Job Summary

The primary responsibility of the Access and Resource Sharing Assistant is to support the Interlibrary Loan team in facilitating access to materials for library users. This position includes Interlibrary Loan tasks such as borrowing request processing, customer service, and physical monograph processing. With a primary focus on Interlibrary Loan borrowing activities, the Access and Resource Sharing Assistant will be responsible for using a variety of sources to verify citations, send requests to potential lenders, problem solve issues related to borrowing requests, and maintain a professional and courteous demeanor while providing high-quality customer service.

This is a time‑limited position ending May 2, 2027.

Responsibilities
  • Process local holding requests to fill digital requests or route to Lending or override the local holding.
  • Request books, book chapters, articles, and other physical or digital items for patrons.
  • Interact with patrons and lending institutions to clarify request details.
  • Use services such as Rapid

    ILL, DOCLINE, Rapido, Florida State Partners, Alma Peer‑to‑Peer, ALA Email, External Systems and Open Access to fill requests.
  • Search databases, especially World Cat, to verify and locate cited material.
  • Correspond via phone or e‑mail with libraries worldwide to resolve borrowing issues.
  • Stay informed on current professional resource sharing topics related to copyright, Interlibrary Loan policies, updates, systems/software changes, and workflows.
  • Process ILL borrowing returns in ILL software and sort materials for return shipping.
  • Assist borrowing and shipping specialist with preparing items for patron use (banding).
  • Troubleshoot monograph issues as needed.
  • Handle phone and e‑mail communication from library partners, institutions, faculty, staff and students respectfully and skillfully.
  • Provide assistance in using the ILL system for all users.
  • Assist circulation staff with troubleshooting ILL issues as needed.
  • Monitor department priorities and exercise initiative to be productive.
  • Maintain active communication with Access and Resources Sharing Manager regarding issues that need further consideration.
  • Assist other ILL staff members with lending, document delivery and shipping operations as dictated by workload and staffing.
  • Participate in library committees, initiatives and cross‑division development opportunities.
  • Submit Facility, IT or other tickets to address issues as needed.
  • Stay current in ILL processes and best practices.
Qualifications

Required Qualifications:

  • High school diploma or equivalent and one year of library experience or relevant experience; or any equivalent combination of experience, training and/or education.

Preferred Qualifications:

  • Evidence of excellent interpersonal skills, including oral and written communication.
  • Ability to learn Interlibrary Loan services, practices, and resources.
  • Basic computer skills and experience with Microsoft Word and Outlook.
  • Strong familiarity working with article or book citations across a broad range of subject matter, including material in foreign languages or international non‑English databases.
  • Excellent attention to detail, ability to prioritize, and stay organized.
  • Familiarity with library processes and procedures.
  • Ability to work independently and collaboratively to accomplish goals.
  • Flexibility and ability to adapt and work in a rapidly changing academic environment.
  • Commitment to contributing to a respectful and caring community for all.
Compensation & Benefits

$16.39 minimum salary;
