About the Role
We are seeking a confident, self‑starter Executive Assistant who is highly organized, proactive, and thrives in a fast‑paced, multi‑tasking environment. In this role, you’ll provide critical, high‑trust support to our CEO — managing complex priorities with precision, protecting his time, and serving as a key point of contact between leadership and the wider team. We’re looking for someone who is quick‑thinking, discreet, and energized by keeping a busy executive a step ahead.
WhatYou’ll Do
- Manage the CEO’s calendar — scheduling meetings, appointments, and travel with accuracy and foresight to maximize productivity.
- Own inbox and email management — triaging messages, drafting correspondence, and ensuring nothing slips through the cracks on follow‑up.
- Act as a resourceful gatekeeper, using friendly, persuasive communication to protect the CEO’s time and create win‑win access for the team.
- Prepare the CEO for each day — briefing him on schedule, priorities, and outstanding to‑dos, and assembling materials and pre‑reads for meetings.
- Coordinate detailed travel itineraries and manage related logistics and expenses with discipline and accuracy.
- Prepare corporate documents and correspondence with a high degree of discretion and confidentiality.
- Track action items and follow‑ups to completion, anticipating needs before they become urgent.
- Organize and execute special projects, keeping a dutiful focus on deadlines and quality.
- Build and maintain cross‑departmental relationships that support leadership and company.
- Independent and confident, with the ability to handle responsibilities autonomously and exercise sound judgment.
- Proven experience as an Executive Assistant or in high‑level administrative support.
- Bachelor’s degree in Business Administration or a related field (preferred).
- Excellent time management, adaptability, and prioritization skills.
- Accurate and precise verbal and written communication skills.
- Strong organizational skills to manage multiple competing priorities.
- Self‑disciplined and able to maintain strict confidentiality with personal and business information.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Experience managing executive schedules in a corporate environment.
- Familiarity with online calendars, cloud systems, and office management software (ERP, CRM).
- Comfort leveraging technology and AI tools to streamline scheduling, communication, and daily workflows.
