Job DescriptionThe Office of the University Registrar is seeking a detail‑oriented and organized individual to join our Records and Degrees team as a Registrar Services Coordinator II. In this role, you will manage diploma orders, process dual major and degree approvals, administer grade activities, and assist with maintaining the university’s grade collection system.
Key Responsibilities- Coordinate student degree application management, including coding minors and dual majors, and maintaining student program and plan data.
- Handle diploma orders and degree reinstatements.
- Assist with end‑of‑term processes, including degree certification and grade processing, and provide content and edit page proofs of the commencement program.
- Provide data related to degrees and certificates awarded to the National Student Clearinghouse.
- Monitor termly and session calendars to create grade rosters and post grades.
- Collaborate with colleges and departments to grant grading access to staff members.
- Provide training and problem‑resolution support for all grade and degree certification system functions.
- Maintain grading and degree certification listservs to provide essential information to staff across campus.
- Assist with the final reconciliation of grades to transcripts each term to ensure data accuracy.
- Maintain all processes related to the change of grade functions.
- Assist with course title changes, retroactive corrections, and holds.
- Reconcile duplicate UFIDs in the student directory.
- Assist with converting permanent record cards to the online transcript system.
- Resolve transcript errors and approve transcript orders daily.
- Manage holds on students’ academic records in compliance with university and State Board of Education rules.
- Provide informational service to students, the university community, and the general public.
- Evaluate and respond to inquiries concerning academic records and university policy.
- Supervise full‑time staff and student assistants assigned to the area.
- Review internal procedures, systems, and record‑keeping methods.
- Cross‑train to assist in all areas of the office during peak workload periods.
- Perform other related duties as assigned by supervisor.
- Master’s degree in an appropriate area; or a bachelor’s degree in an appropriate area and two years of relevant experience.
- Ability to establish and maintain professional and effective working relationships.
- Excellent verbal and written communication skills.
- Demonstrated experience supervising staff, including coaching, performance management, and supporting professional development.
- Ability to comprehend and interpret university and registrar policies, procedures, and academic regulations.
- Ability to establish work priorities and coordinate the timely completion of work assignments.
- Strong organizational skills.
- Ability to work independently, exercise good judgment, and work with minimal supervision.
