Job Description

The Office of the University Registrar seeks a detail‑oriented and organized individual to join our Records and Degrees team as a Registrar Services Coordinator II. The role involves managing diploma orders, processing dual major and degree approvals, administering grade activities, and maintaining the university’s grade collection system.

Key Responsibilities
Record and Degree Processing
  • Coordinate student degree application management, including coding minors and dual majors, and maintaining student program and plan data.
  • Handle diploma orders and degree reinstatements.
  • Assist with end‑of‑term processes, including degree certification and grade processing, and prepare and edit commencement program proofs.
  • Provide degree and certificate data to the National Student Clearinghouse.
Grade Administration
  • Monitor termly and session calendars to create grade rosters and post grades.
  • Grant grading access to staff members in collaboration with colleges and departments.
  • Provide training and problem‑resolution support for grade and degree certification system functions.
  • Maintain grading and degree certification listservs to share essential information campus‑wide.
  • Assist with final reconciliation of grades to transcripts each term to ensure data accuracy.
  • Maintain all processes related to grade change functions.
Student Record System Maintenance
  • Assist with course title changes, retroactive corrections, and holds.
  • Reconcile duplicate UFIDs in the student directory.
  • Assist with converting permanent record cards to the online transcript system.
  • Resolve transcript errors and approve transcript orders daily.
  • Manage holds on academic records in compliance with university and State Board of Education rules.
Customer Service
  • Provide informational service to students, the university community, and the general public.
  • Evaluate and respond to inquiries concerning academic records and university policy.
Other Duties
  • Supervise full‑time staff and student assistants assigned to the area.
  • Review internal procedures, systems, and record‑keeping methods.
  • Cross‑train to assist in all office areas during peak workload periods.
  • Perform other related duties as assigned by supervisor.
Qualifications Minimum Requirements

Master’s degree in an appropriate area; or a bachelor’s degree in an appropriate area and two years of relevant experience.

  • Ability to establish and maintain professional and effective working relationships.
  • Excellent verbal and written communication skills.
  • Demonstrated experience supervising staff, including coaching, performance management, and supporting professional development.
  • Ability to comprehend and interpret university and Registrar policies, procedures, and academic regulations.
  • Ability to establish work priorities and coordinate timely completion of work assignments.
  • Strong organizational skills.
  • Ability to work independently, exercise good judgment, and work with minimal supervision.
