This position provides support to the OPERATION MANAGER II-SES-and RECORDS MANAGER ANALYST-SES to ensure the smooth operation of the department. Schedules appointments-including Foreign Travel-through-walk-in visits, client phone calls, and messages. Registers new clients for appointments using FL SHOTS and schedules existing clients through HMS. Verified insurance coverage and eligibility for Health Department Services with each appointment request. Screens clients to determine the appropriate clinic or health service are, and documents verified eligibility accordingly.

Conducts interviews with clients to assess income, family status, and insurance coverage to determine eligibility for Health Department Services and the Presumptive Eligibility for Pregnant Women (PEPW) Medicaid Program. Provides information about available services and eligibility criteria. Uses systems such as Availity, Change Health Care (Revenue), and FLMMIS to verify current insurance coverage. Assist clients who wish to change their primary care provider to the Health Department.

Inputs clients' demographic data into the HMS system, importing the initial data via FL SHOTS, and updates information in both systems as needed. Ensure client's information matches in both systems. Confirms and updates the client's status in the electronic chart with each appointment request. Reviews financial documents including WAGES records, unemployment information, the Medicaid system, and client provided paystubs or other income documentation to determine Sliding Fee Scale (SFS) eligibility.

Interviews clients, evaluates income, family status and insurance to determine need and eligibility for health department services, PEPW Medicaid, and /or FP Waiver Medicaid. Initiates and completes necessary forms to open electronic charts, document eligibility and process yearly financial eligibility updates. Uses Availity and FLMMIS to verify current coverage of insurance. Uses WAGES, Unemployment, Medicaid System, and client paystubs or other financial documentation to determine client SFS.

Checks clients in for appointments. Provides information on various clinic services and eligibility for those services. Assist clients who want to change from their current provider to the health department as their primary care provider. Assist clients with completing the Healthy Kids application. Inputs client's original demographic information into HMS via FL SHOTS. Updates demographics in both systems as changes occur.

Ensures appropriate verification of client identification and changes are scanned into electronic chart. Ensures all records and lab slips have updated labels before routing client to clinic. Ensures correct client status is designated on each electronic chart for every visit. Performs Medical Release through appointments in QFLOW.

Checks clients in for shots, PPDs, Quantiferon, and shot transfers. Updates demographic info, verifies insurance, adds/updates insurance into HMS, and adds additional family members into household. Processes shot record transfers into FLSHOTS including foreign and out of state records.

Evaluates clients for Refugee Health Program (RHA) eligibility by reviewing county of origin, date of entry, type of entry, etc., collects appropriate paperwork or reviews website for 1-94 documentation, updates alien number, schedules initial and follow-up appointments and immunization appointments, uses appropriate service codes to indicate status of client (i.e., no show, completed), checks clients in, and processes medical releases. Interprets and returns call for program.

Answers multi-line switchboard, ensuring calls are answered promptly, professionally, courteously, and are routed to the appropriate areas.

Performs receptionist duties for QLOW, including verifying, scheduling, adding, and checking appointments into the system. Acts as front-line receptionist assisting clients with information regarding the Health Department, checking Medicaid and third-party insurance to ensure eligibility for HD services, making appointments, and performing any additional duties not specifically designated here to ensure smooth front desk flow.
