Responsible and accountable for the record keeping procedures and storage of all medical records, and the ordering, distributing and tracking of supplies, in a manner consistent with facility policies and procedures, professional standards, and state and federal laws and regulations for long-term care facilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Medical Records Component- Processes Legal Record requests as directed (Requires Tracking).
- Processes Patient and Family Records requests as directed (Requires Tracking).
- Processes ADRs as directed (Requires Tracking).
- Processes Case Manager requests for “View Only” access to PCC as directed.
- Sets up Provider Profile; adding to each of their residents for viewing purposes.
- Reset passwords for providers as requested and approved.
- Physician Certifications.
- Ensure physician completion and validate in Medical Records.
- Coordinate with physicians to ensure orders are signed.
- Print orders for signatures to assist completion when required.
- Completed when cleared in Portal by HIC as signed in wet ink, validating each order signed.
- Monitors Physician Visits for compliance.
- Involves appropriate personnel (Unit Managers, DON) in obtaining physician compliance as needed.
- Notify IT of necessary removals for practitioners no longer credentialed.

- Scans, uploads, validates, and then shreds paper forms once process completed.
- Reports to QA a summary of audit findings as appropriate.
- Follows and monitors all procedures to ensure confidentiality of patient information and guard against destruction or loss of data.
- Follows company policy and State/Federal regulations.
- Determines and maintains par levels in the main Central Supply area and ancillary supply rooms as determined in collaboration with Center leadership. Daily, weekly, and monthly inventory level tracking is required for accuracy. Maintain all areas in a clean, organized manner.
- Coordinates the ordering of all supplies relevant to patient care and as determined in collaboration with Center leadership, following established practices with approved systems and vendors.
- Receives orders at time of delivery, inspects for damaged goods, and verifies against purchase orders.
- Ensures that no items ordered and stored are used, or stored, after their expiration date.
- Distributes supplies to appropriate areas as determined in collaboration with Center leadership.
- Ensures supply rooms are properly secured as appropriate.
- Coordinates rental equipment, maintains inventory, and returns immediately upon discontinuation of same. Accurate logs are to be maintained.
- Cleans and stores equipment as appropriate, in accordance with established Infection Prevention and Control procedures.
This position will maintain any work area in an orderly manner and adhere to professional dress code requirements.
Entry Qualifications- High School diploma or equivalent.
- Computer literacy.
- Working knowledge of medical supplies and terminology.
- Employees will be required to sit, bend, reach, stoop, use keyboard, see, talk and hear. Will lift objects of up to 50 lbs. May be required to work beyond their regularly scheduled shift. - Employees will participate in (or conduct) company sponsored training to safeguard against improper use and disclosure of resident’s protected health information. Monitors and ensure compliance with company policies, procedures and state and Federal laws.
