Position Summary: The Medical Assistant who holds the Surgical Scheduler position will be responsible for performing secretarial duties for physician, which includes, scheduling surgical procedures (in office, outpatient, inpatient), scheduling pre- and post-op appointments, medical clearances, orders for medical supplies and DME, obtaining surgical benefits, authorizations for surgery and collections of pre-surgery deposits. The Surgical Scheduler will manage all incoming calls, questions, faxes, and emails related to surgery and back up the Medical Assistants in clinic rooming patients, entering orders, etc.

Qualifications:
  • Surgical coordination experience required.
  • Proficient in Excel and Word.
  • Must have knowledge of medical terminology
  • Ability to maintain a cheerful, positive, and respectful attitude in a high-paced and stressful environment.
  • Excellent organizational and interpersonal skills, as well as a strong sense of customer service
  • Ability to multi-task and maintain high attention to detail
  • Excellent telephone, computer and typing skills
  • Ability to uphold organizational values, work ethically and with integrity, treat people respectfully and in a way that inspires trust
  • Ability to work under limited supervision as well as function as a leader within the department and to all staff members
  • Must possess excellent written and verbal communication skills.
  • Bilingual is preferred.
Key Responsibilities:
  • Coordinate and schedule procedures or surgeries, pre and post op appointments as designated by physicians.
  • Interact with patients,’ physicians, and other staff, both internal and external, providing timely and responsive information
  • Coordinate processes and route all paperwork as required to meet physician and facility requirements.
  • Initiate and track medical clearances as required by physician or physician extender.
  • Initiate and track authorization for procedures, surgeries, ancillary services, and medical supplies, as needed for surgery
  • Obtain financial estimate for procedures, surgeries, ancillary services, and medical supplies
  • Contact the patient to ensure that pre-payment is collected prior to procedure being performed, following guidelines.
  • Triages, manages, and documents all incoming surgery related calls to physician.
  • Complete all “tasks” and orders in a timely manner
  • Scan internal documents accurately into patient’s medical record
  • Demonstrate courteous and helpfulness toward patients and their families
  • Display flexibility in work schedule dependent on clinic needs
  • Maintains strictest confidentiality in accordance with HIPAA compliance
  • Answer phone calls, emails and following up with clinical inbox
  • Coordinate and make sure that all DME is available prior to surgery
  • Completes all disability forms for patient
  • Other duties as assigned
