A bachelor’s degree in an appropriate area of specialization and two years of appropriate experience or an equivalent combination of education and experience.

Responsibilities
  • Minuet System Administration, Security, and Compliance: responsible for ongoing administration, security, and compliance oversight of the Minuet intellectual property management system. Essential functions include:
  • Serve as the primary administrator for Minuet system configuration, including managed lists, user defined fields, and administrative console tools
  • Manage the full user access lifecycle, including account creation, modification, deactivation, security group assignment, and record-level access controls
  • Administer record audit tools and support recurring and ad-hoc litigation discovery and record retention requests
  • Work with the Information Security Manager (ISM) in performing risk assessments related to Minuet configuration, integrations, core system changes, and third-party software interfaces
  • Manage PKI certificate renewals and secure access for Minuet, NIST, and iEdison
  • Provide recurring audit and compliance support for UF Research Foundation (UFRF) and external auditors
  • Data Management, Integrations, and Automation Support: support the integrity, movement, and synchronization of data within Minuet and across integrated enterprise and federal systems. Includes hands-on data management, automation, and end-to-end responsibility for system integrations to ensure accurate, timely, and reliable information flow:
  • Perform recurring data import/export operations, bulk updates, deletions, and portfolio maintenance
  • Maintain data integrity through duplicate record identification, consolidation, and corrective updates
  • Administer Minuet APIs and UF-level data integrations, including setup and maintenance of API credentials and email manager accounts
  • Oversee end-to-end onboarding of system integrations, including field mapping, testing, deployment, and post-implementation validation
  • Monitor system automation, including Sentinel rules and scheduled processes, to ensure continued operation and data accuracy
  • Financial Operations Support, Reporting, and Analytics: provide ongoing operational support for financial and reporting workflows within Minuet essential to technology licensing, revenue distribution, and compliance reporting:
  • Support financial workflows including payables, receivables, payments, invoices, statements, interest calculations and reimbursable expenses in coordination with the Business Office
  • Collaborate with the Business Office to produce and maintain recurring financial and revenue distribution reporting, including write-offs, credit memos, and payment plans
  • Manage LEDES imports, expense codes, and associated reporting utilities
  • Develop, maintain, and update scheduled and ad-hoc reports in coordination with UF Innovate management and the Business Office
  • Training, Operational Support, and Process Improvement: support the sustainability and effectiveness of the Minuet system through user training, functional support, and continuous process improvement. Serve as an escalation point for complex issues and ensure operational knowledge is documented and transferable:
  • Provide Minuet user training and administrator-level knowledge transfer to ensure continuity of operations
  • Serve as Tier-2 functional support, reviewing and resolving user issues prior to escalation to Inteum Support
  • Monitor Inteum support tickets to ensure timely follow-up and resolution
  • Design, document, and maintain standard operational procedures (SOPs) for Minuet and analytics workflows
  • Participate in continuous process improvement initiatives to enhance system reliability, data quality, and user efficiency
  • Other duties as assigned

Qualifications

Required: A bachelor’s degree in an appropriate area of specialization and two years of appropriate experience or an equivalent combination of education and experience.

Preferred:

  • Preferred experience and working knowledge of Intellectual Property, Technology Transfer and Technology Licensing life cycles
  • Working knowledge of Inteum Minuet (or comparable system), including system administration tools, automation, and reporting
  • Experience supporting federal and regulatory reporting workflows (e.g., USPTO, NIST/iEdison) and compliance-driven processes
  • Experience managing system integrations, data quality, and recurring financial or operational reporting
  • Demonstrated ability to provide advanced functional support, develop documentation, and train users in a complex institutional environment
