Admissions Office Front Office Assistant
This position has primary responsibility welcoming guests to the Admissions Office. Responsible for coordinating tours of the main campus, Downtown Center and East Campus sites; assisting with the recruitment of walk-ins; handling incoming calls to Admissions; assisting with the management of the Admissions budget, and managing the supply of Admission recruiting materials/items and sharing materials with other campus departments.

Duties & Responsibilities:
- Assist with the recruitment of prospective students and families.
- Plan, administer, track and, report all individual and group campus visits.
- Responsible for coordinating campus tours for the Gainesville, Downtown Center and East Campus
- Provide a positive front office experience for all visiting students and families, including walk-ins.
- Responsible for hiring, training coordination and supervision of the Golden Stars, working in conjunction with the Events Coordinator.
- Answer the Admissions Office main telephone line, triage callers, and assist with overflow phone activities from other staff.
- Ensure that all calls and campus visits are properly documented in Slate CRM and prospective students/families are provided with appropriate resources.
- Responsible for planning and coordinating personalized on-campus visit experiences for accepted applicants.
- Manage incoming mail and ensure that all records and documents are sent to Admissions Operations in a timely manner.
- When appropriate, coordinate dialogue between the prospective students and Brenau resources, including Academic departments, Student Services and the Office of Financial Aid
- Monitor admissions main email inbox, responds to inquiries and/or forwards emails to appropriate parties.
- Collaborate with the Events Coordinator to plan, coordinate, and participate in Admissions events including open houses yield events and orientation.
- Assist with office activities including mailings, data entry, and file maintenance
- Provide timely, effective and professional communication when corresponding with faculty, staff and incoming guests regarding campus visits.
- Send directions and parking information to campus visitors.
- Ensure that the front office in Wheeler is a safe, clean and welcoming environment.
- Maintain inventory of office supplies and tour related materials
- Perform other duties as assigned by supervisor

- Must possess superior verbal and written communication skills
- Must have knowledge of Brenau's academic programs and services.
- Must be able to promote Brenau effectively, honestly, and openly
- Must be able to relate very well to prospective students of all ages, and where appropriate to their families
- Must be self-motivated, highly organized and display a high level of dedication to the University and to the task of selling the University to the public
Basic Expectations:
- Must provide prospective students with the highest level of customer service and support while abiding by the policies of Brenau University and the Southern Association of Colleges and Schools
- Must arrive punctually (8:30 unless approved/assigned by supervisor)
- Lunch hour must be consistent for scheduling purposes and front office coverage
- Must dress professionally
- Must foster an atmosphere of positive teamwork
Education:
- High School diploma required, bachelor's degree strongly preferred.
Judgment:
- Must possess the ability to recognize the appropriate procedure to apply to each situation encountered.
- Must maintain confidentiality of student records and conversations.
Supervisory Responsibilities:
Supervise, manage, and motivate an student employees to achieve departmental goals.
Work Hours:
Full-time. 37.5 hours per week. Generally, Monday-Friday from 8:30 a.m.
- 5:00 p.m. Hours may be extended to meet the needs of the department. Nights/weekends as needed.
Appointment Length:
12 months, continuous
Environmental and Working Conditions/ Physical Demands and Aptitudes:
Sedentary work. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Prolonged periods sitting at a desk and working on a computer. Must have the ability to travel short distances, and/or drive a vehicle to deliver and pick up materials. Exerting up to 15 pounds of force to lift, carry, push, pull or otherwise move objects.
Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
