Company Description Good News Clinics is a nonprofit healthcare organization that has been serving Hall County residents since 1992. Through strong community support and partnerships with volunteer medical and dental professionals, the Clinics provide free medical care, dental care, and specialty referrals for uninsured individuals who cannot afford healthcare. The organization also offers specialty treatment at no cost through the Health Access Initiative, created by the Hall County Medical Society.

Position Summary

The Administrative Assistant provides administrative support to the Development Director, Business & Finance Director. This position will support day-to-day operations of the organization’s Executive Team with primary emphasis on donor management tasks, external communications and meeting coordination. The Administrative Assistant will also support overall office operations of the organization under the direction of the Business & Finance Director.

The ideal candidate is highly organized, detail-oriented, self-motivated, and able to manage multiple priorities while maintaining professionalism and confidentiality in a fast-paced nonprofit environment.

Essential Duties and Responsibilities Development & Communications Support
  • Assist Development Director with donor acknowledgment letters and correspondence.
  • Provide accurate and confidential data entry in donor database.
  • Develop external communications content for publications such as newsletters, annual reports, brochures, social media content and marketing materials per the Annual Communications Strategy.
  • Publish social media scheduling and posting across platforms.
  • Help maintain website content updates as assigned.
  • Assist with event preparation and fundraising activities.
  • Coordinate donor mailings and fundraising materials.
General Administrative Support
  • Coordinate meeting logistics, including room setup, refreshments, technology, and materials.
  • Prepare and meeting documentation, presentations, and meeting packets.
  • Take meeting minutes when requested.
  • Answer, screen, and direct incoming phone calls to Administration department as needed.
  • Draft, edit, proofread, and distribute correspondence, emails, letters, reports, and other documents.
  • Maintain electronic and physical filing systems.
  • Scan, upload, organize, and archive documents.
Office Operations
  • Coordinate incoming and outgoing mail daily and distribute appropriately. Manage shipping and receiving.
  • Order office and clinical supplies and ensure adequate stock levels in coordination with clinical staff.
  • Coordinate copier, printer, and office equipment maintenance requests.
  • Assist Directors with facilities-related tasks including maintenance requests, vendor coordination, and building organization.
  • Assist with document retention and filing procedures.
  • Assist with invoices and purchase documentation as directed.
  • Help reconcile office supply expenditures.
  • Collect departmental donations and fees for submission to Business & Finance Director.
  • Distribute timecards among departments and ensure timely submission to Business & Finance Director.
Organizational Support
  • Assist with Board meeting preparation, including assembling Board packets.
  • Support staff meetings by preparing meeting materials, meals and space.
  • Assist with organization-wide events, appreciation activities, and community outreach events.
  • Cross-train to provide administrative coverage during staff absences.
  • Perform other duties as assigned to support the mission and operations of the organization.
Qualifications
  • Strong administrative assistance and clerical skills, including data entry, filing, and document preparation.
  • Effective phone etiquette and communication skills for interacting with patients, volunteers, and staff.
  • Experience with executive administrative assistance, such as calendar management, meeting coordination, and support for leadership.
  • Proficiency with basic computer applications (e.g., MS Office, email, scheduling systems) and ability to learn new software.
  • High level of organization, attention to detail, and ability to manage multiple tasks in a fast-paced environment.
  • Commitment to patient confidentiality and adherence to clinic policies and procedures.
  • Ability to work collaboratively with diverse teams and interact respectfully with individuals from varied backgrounds.
  • High school diploma or equivalent required; prior experience in healthcare, nonprofit, or customer service settings is preferred.
