Role DescriptionThis is a full-time, on-site Administrative Assistant role based in Gainesville, GA. The Administrative Assistant will manage daily office operations, including answering and directing phone calls, greeting visitors, and handling incoming and outgoing mail. Responsibilities include scheduling appointments, maintaining calendars, organizing client files, and supporting document preparation for tax and financial engagements. The role also involves assisting with data entry, updating records in firm systems, and coordinating with team members to ensure smooth workflow.
The Administrative Assistant will provide executive-level support as needed, maintain a professional reception area, and uphold confidentiality and compliance standards in all client interactions.
- Strong Administrative Assistance and Clerical Skills, including scheduling, filing, data entry, and document management.
- Professional Phone Etiquette and Communication skills for interacting with clients, vendors, and internal team members.
- Experience with Executive Administrative Assistance, supporting leadership with calendar management, meeting coordination, and correspondence.
- Proficiency with office software (e.g., "Microsoft Office or Google Workspace") and comfort learning new systems and tools.
- High attention to detail, strong organizational skills, and the ability to prioritize multiple tasks in a fast-paced environment.
- Commitment to confidentiality, accuracy, and reliability when handling sensitive client and financial information.
- Prior experience in a professional services, tax, accounting, or financial office environment is beneficial.
- High school diploma or equivalent required; additional coursework or certification in office administration or business is a plus.
