Spare Parts Coordinator – Gainesville Georgia USA

The Spare Parts Coordinator (SPC) is responsible for processing and following up on new or existing spare parts quotes and orders. The main responsibilities include managing spare parts requests and inquiries—such as quotations, return requests, delivery dates and status. The SPC works closely together with Customer Support Coordinator, Customer Care Manager and Service Contract Coordinator and serves as an important stakeholder for field service and Technical Support in fulfilling their spare parts needs in the customer journey.

The SPC provides dedicated support to customers, ensuring timely and professional handling of all spare parts–related matters. As a primary contact for the internal Supply Chain organization, the SPC communicates confirmed delivery dates, potential delays, and any issues that may impact service levels or customer expectations. The SPC ensures transparency and proactive resolution of issues to maintain customer satisfaction. The SPC is also responsible for preparing spare parts packages for planned maintenance jobs within required time frames and coordinating with Field Service Planning and Supply Chain teams to ensure timely purchasing and delivery.

What You’ll Be Doing
  • Receive and process spare parts requests from customers and internal stakeholders, including:
    • Quotations
    • Orders
    • Return requests
    • Delivery and price inquiries
  • Prepare, issue, and follow up on spare parts quotations
  • Manage spare parts orders through to completion
  • Communicate with Supply Chain regarding availability, delivery timelines, and related matters
  • Proactively escalate and resolve issues that may compromise service levels or customer expectations
  • Provide relevant information to support spare parts forecasting and demand planning
  • Plan and prepare spare parts packages for planned maintenance activities
  • Collaborate closely with Field Service, Technical Support, and Customer Support teams
  • Act as a customer advocate with a service‑oriented and empathetic approach
  • Ensure customer needs are met efficiently and within agreed timelines
  • Communicate regularly with cross‑functional teams and departments
  • Perform other duties as required to meet business needs
