ASSISTANT COMMUNITY MANAGER

Responsibilities

The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. You will play a vital role in delinquency and rent collection to optimize the property's cash flow and financial position. You will manage all phases of operations, including personnel, leasing, maintenance, financial, administration, and risk management in the absence of the Community Manager.

As an onsite leader, you will supervise all aspects of the property and staff to ensure compliance with company policies and procedures, safety and fair housing guidelines, and liability concerns.

Essential Duties & Responsibilities

Financial Management

  • Post all payments and income received from applicants, current residents, and non-current residents accurately and timely.
  • Process and reconcile daily accounts receivable.
  • Monitor and follow up on bad debt, including late notices, resident and guarantor contact, and evictions.
  • Help the property meet budgeted revenues, expenses, and Net Operating Income.
  • Post charges to resident and non-current resident accounts; include bill backs of utilities where applicable.
  • Execute end-of-month closing procedures and reporting.
  • Maintain accurate and organized records; audit resident files for accuracy.
  • Walk units and post move-out charges, statements, and security deposit refunds.

Personnel Management

  • Regular/daily onsite attendance is required.
  • Screen, hire, train, coach, and develop onsite staff using consistent techniques and company directives.
  • Ensure staff effectiveness through ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks.
  • Promote harmony and quality job performance through support and effective leadership.
  • Ensure staff compliance with company policies and procedures.
  • Strategic Leasing Management: ensure leasing techniques are effective in obtaining closures, follow-up procedures, lease signings/documentation, and reporting systems are accurate and up to date.
  • Implement marketing strategies & systems from the annual marketing plan.
  • Address resident complaints, concerns, and requests to ensure resident satisfaction.
  • Develop and implement resident retention programs (e.g., resident functions, promotions, monthly newsletter).
  • Show, lease, and move in prospective residents.

Administrative Management

  • Maintain excellent customer service and monitor service request turnaround and responsiveness of maintenance staff.
  • Maintain property appearance and ensure repairs are noted and completed in a timely manner (requires regular property inspections and tours).
  • Assist with supervision of all business functions related to operations.
  • Plan for and utilize property resources, equipment, and supplies economically (e.g., obtain bids/pricing from vendors, address inadequate service, etc.).
Education/Experience
  • High School Diploma or equivalent;
    Bachelor s degree preferred or two years of experience in the housing industry; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Ability to understand and perform all onsite software functions; basic computer skills required.
  • Must have basic knowledge of Fair Housing Laws and OSHA requirements.
Physical Requirements
  • Regularly required to be stationary, may stand or sit for prolonged periods, and communicate with others to exchange information.
  • Move about to accomplish tasks or travel between worksites; occasionally ascend/descend ladders, stairs, scaffolding, ramps, and move into various environments including tight spaces.
  • Lift or move objects up to 25 lbs; operate machinery or power tools; drive vehicles as needed; work overtime, weekends, and night hours for emergencies.
