The Cooke County office of the Community Supervision and Corrections Department is seeking qualified candidates for the position of Administrative Assistant.
The Administrative Assistant is responsible for providing secretarial and data entry support for the department. Duties include collecting and receiving cash, cashier's checks, money orders, and credit/debit card payments, and issuing receipts. Totaling daily receipts, balancing with computer totals, and taking deposit to Treasurer's Office. Reviewing, monitoring, and distributing all incoming mail. Will receive and direct offenders, and other individuals to appropriate offices.
Answers telephone and transfers calls to appropriate persons, and takes accurate messages. Maintains a good quantity of supplies and runs copied forms as needed. Prepares and types monthly reports and workload reports. Types some legal documents for County Court pares new case files coming in from court or other counties. Enters offender information into Corrections Software System on new cases.
Keeps offender tracking information correct on CJIS system. Types correspondence for the Director as needed. Maintains and troubleshoots office equipment and coordinates with service providers.
High school diploma and 3 to 4 years prior experience as a secretary or administrative assistant required. Excellent Microsoft Office skills required; including Word, Excel and PowerPoint. Knowledge of standard and automated office equipment. Ability to handle multiple tasks. Good communication skills, organizational skills and strong phone and typing skills required. Independent judgment is required to plan, prioritize, and organize diversified workload.
Ability to access and maintain confidential information required. Must be able to be bonded and pass a criminal background check.
