Work-Study - Human Resources Assistant
The HR Assistant provides administrative and technical support to the Human Resources and Payroll departments, with a primary focus on a document retention project. This position assists with organizing, scanning, auditing, and maintaining employee records to ensure compliance with institutional policy, state and federal regulations, and established record-retention schedules. The HR Assistant will also support ongoing HR operations and processes.
Responsibilities & Duties- Digitize employee personnel files and related HR documents by scanning, indexing, and saving records in Docubase or other electronic document management systems.
- Conduct file audits to identify missing, incomplete, or misfiled documents; assist with correcting and updating records as needed.
- Organize, purge, and prepare paper files in accordance with NCTC’s approved document retention schedule and state archival requirements.
- Maintain file accuracy and confidentiality in compliance with FERPA, HIPAA (as applicable), and NCTC policy.
- Assist with general HR administrative tasks such as data entry, filing, and assembling materials for onboarding and other HR processes.
- Participate in department retention projects and process improvements.
- Perform other duties as assigned. Responsibilities and duties may change based on the needs of the department and the institution.
High School Diploma or GED
Required Skills & Abilities- Strong organizational skills with the ability to manage large volumes of documents.
- Ability to maintain confidentiality and follow established procedures.
- High attention to detail and accuracy.
- Ability to work independently and adapt to changing priorities.
- May be required to sit for extended periods.
- Must be able to lift up to 10 pounds.
Frequent repetitive motion related to scanning and document preparation.
Preferred Skills & Abilities- Knowledge of document retention practices and/or HR record-keeping standards.
- Familiarity with FERPA and confidentiality requirements.
Experience working in an office environment.
Preferred Experience- Experience with document handling, filing, or data entry.
- Experience working in Human Resources, payroll, or records management.
- Experience with electronic document management systems such as Docubase.
Part-time, maximum 19 hours per week. Hours may be flexible during the workweek:
Monday‑Thursday 8 a.m.–5 p.m.;
Friday 8 a.m.–Noon, based on department need.
