Summary

As an Office Administrator
, you will be the primary point of contact at the Gainesville office for VSN staff to report facility emergencies, cleaning service needs, parking lot concerns, building access, and general repairs. This role will need to interact professionally with staff and vendors, as well as coordinate safety drills and meetings as needed. Additionally, this role will be responsible for providing administrative support assisting the Procurement and Accounts Payable functions as needed, in addition to helping to research and resolve equipment back‑order issues for the team.

What

You’ll Do
  • Facilities Support:
    • Primary point of contact for VSN staff for facilities emergencies or general repairs. Receive requests/notices from office staff and act accordingly to either coordinate with a vendor or address the issue internally.
    • Primary point of contact for facilities vendors, contacting and coordinating service calls as needed for emergencies and routine visits for:
      Electrical, Plumbing, Pest Control, Break Room, Cleaning Crew, HVAC, etc.
    • Be present, or arrange for an alternate to be present, whenever a vendor is scheduled to be on site, to provide information and to be an escort/point of contact within the building for any questions.
    • Alert staff of any service work that may be intrusive/disruptive to operations.
    • Coordinate employee‑assisted maintenance as needed including but not limited to refrigerator clean‑outs, light furniture moving, lobby holiday decorating, etc.
    • Lead and coordinate large‑scale projects related to internal building appearance.
    • Monitor Break Room supply levels and issues with appliances.
    • Order office supplies as directed.
    • Mail distribution.
    • Other facilities duties as needed.
  • Safety:
    • Coordinate with the Corporate office the hosting of safety meetings and safety drills as required, monthly and quarterly.
    • Maintain the safety log, inspection checklist, track certifications, and provide reporting on a regular basis.
  • Administrative Support:
    • Assist with research and resolution of equipment backorders.
    • Cross training to provide backup support as needed for Procurement, Accounts Payable, Inventory Control, Returns/Warehouse teams.
    • Other administrative duties as needs arise.
  • Building Access:
    • Coordinating with HR & IT for building and system access, including the issuance and retrieval of access badges.
What You’ll Need
  • High School Diploma or equivalent required.
    • College degree - preferred.
  • 1 or more years of experience in customer service and administrative duties.
  • Strong Computer and MS Office skills - including Microsoft Excel, Outlook and Teams.
  • Demonstrates strong time management, multi‑tasking and organizational skills.
  • Must be able to communicate and effectively work with a wide variety of people (both internally and externally).
  • Must be able to maintain both company and client confidential information.
