THE OPPORTUNITY

Woodhouse Spa Gainesville is a veteran-owned, family-operated ultra-luxury day spa nestled in Gainesville, Virginia — 7,000 square feet of curated calm, where every detail is intentional and every guest is treated as a cherished individual. We are seeking a part-time Spa Concierge and Front Desk Professional who embodies warmth, polish, and the art of anticipating needs before they are spoken.

This is not a receptionist role. This is a hospitality position in the truest sense — one that requires the intuition of a luxury hotel concierge, the genuine care of a trusted advisor, and the grace to make every single guest feel like the most important person in the building.

WHAT YOU WILL DO
  • Welcome every guest with a warm, personalized greeting that sets the tone for a world-class experience from the moment they arrive
  • Expertly manage scheduling, reservations, and booking adjustments using Meevo spa management software with accuracy and composure
  • Guide guests through our extensive service menu — 40+ massage and bodywork offerings, advanced skincare, Hydra Facial, Active Salt Therapy, Glacial Skin, and more — with confident, knowledgeable enthusiasm
  • Curate and present retail and product recommendations naturally woven into the guest conversation — never pushy, always inspired
  • Anticipate guest needs, preferences, and special occasions to elevate each visit into a memorable, personal moment
  • Manage phone, online inquiries, and gift card requests with the same grace and professionalism as in-person guests
  • Coordinate seamlessly with our spa team to ensure flawless service flow, on-time transitions, and a calm, luxurious atmosphere
  • Handle guest feedback — positive and constructive — with emotional intelligence and solution-oriented care
  • Maintain the immaculate presentation of the front desk and lobby area, reflecting our premium brand at all times
  • Support group bookings, corporate events, and special celebration packages with attention to every detail
WHO YOU ARE
  • You have a natural warmth and presence — people feel genuinely seen and cared for in your company
  • You have experience in luxury hospitality, upscale retail, hotel front desk, or high-end service environments and you thrive in that world
  • You are polished in appearance and professional in communication — written, verbal, and in person
  • You are an excellent multitasker who stays calm, organized, and gracious under pressure

  • You are comfortable with technology — booking systems, POS, and client communication tools — and learn quickly

PREFERRED QUALIFICATIONS
  • 1–3 years of experience in luxury hospitality, spa, hotel, or upscale retail customer service
  • Familiarity with Meevo spa management software is a plus — we will train the right candidate
  • Experience with retail sales or upselling in a service environment
  • Proficiency in professional business communication and email correspondence
  • High school diploma or equivalent required; hospitality or business coursework a plus
