Service Coordinator

We are seeking a highly organized and customer-focused Service Coordinator to support the daily operations of our Service Department. This role serves as the primary point of contact for technicians and customers, ensuring service calls are scheduled, tracked, and completed efficiently. The ideal candidate is detail-oriented, professional, and thrives in a fast-paced environment where multitasking and communication are essential. This position is 100% on site.

Key Responsibilities
  • Answer incoming phone calls from customers and field technicians.
  • Create and manage service calls within the company system.
  • Schedule and dispatch technicians for service and maintenance appointments.
  • Monitor active service calls to ensure timely completion.
  • Maintain accurate and detailed notes regarding the status of open service calls.
  • Review technician service reports and communicate repair recommendations to the Service Manager.
  • Escalate job-related issues and concerns to the Service Manager as needed.
  • Direct technicians to the Service Manager regarding technical questions or field challenges.
  • Coordinate and schedule preventative maintenance calls to ensure completion within required time frames.
  • Provide ongoing administrative support to the Service Department.
  • Maintain professional communication with customers, technicians, and internal staff.
Qualifications
  • Previous experience in dispatching, service coordination, customer service, or administrative support preferred.
  • Strong organizational and multitasking abilities.
  • Ability to type a minimum of 38-40 words per minute.
  • Proficiency with Microsoft Word, Excel, Outlook, and PDF software.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work effectively in a fast-paced environment while maintaining accuracy.
  • Positive, professional attitude and a strong commitment to customer service.
Preferred Attributes
  • Experience working in a service, construction, HVAC, mechanical, or field service environment.
  • Ability to prioritize multiple tasks and adapt to changing priorities.
  • Team-oriented mindset with a proactive approach to supporting department operations.
