The RoleWe are seeking a highly organized, proactive Wellness Program Coordinator to support the planning, logistics, and delivery of wellness programs and events.
This role is ideal for someone who enjoys coordinating moving pieces, creating systems, and ensuring events run smoothly behind the scenes. You’ll work closely with leadership to manage schedules, logistics, communication, and program tracking.
Over time, this role has the potential to grow into a larger operations or program leadership position as the company expands.
What You’ll Do- Coordinate the logistics that keep our programs running smoothly, including:
- Schedule and coordinate wellness events, classes, and outreach programs
- Assign and confirm staff and instructors for programs and events
- Manage event logistics including supplies, setup needs, and preparation timelines
- Communicate with clients, partners, vendors, and instructors
- Track program attendance, participation data, and feedback
- Maintain event calendars, registration tools, and internal tracking systems
- Help manage wellness equipment and supply inventory
- Support on-site event coordination (setup, breakdown, participant support)
- Provide clear post-event summaries, data, and flag issues proactively
- Help ensure every program is organized, prepared, and delivered professionally
Events may include wellness fairs, corporate programs, table events, field days, and mobile gym activations.
Work StructureThis is an onsite role.
10–15 hours per week to start
Remote work for coordination and communication tasks
Approximately 1 office day per week as needed for meetings and inventory
10–15 in-person events per month across the DC Metro area
Some events will be coordinated and run independently
Reliable transportation is required.

- Bachelor’s degree in Public Health, Health Promotion, Business, Event Management, or related field
- 2+ years of experience in program coordination, event planning, operations, or administrative support
- Strong organizational and time management skills
- Experience managing logistics, schedules, or program coordination
- Experience working with Google Workspace, tools and scheduling tools, spreadsheets, and basic project-tracking systems
- Excellent communication and follow-through
- Ability to work independently while collaborating with a small team
Reliable transportation and availability to support in-person events in the DC Metro area
Preferred (Not Required)- Background or interest in wellness, public health, fitness, or community programming
- Experience using spreadsheets or project tracking tools
- Experience supporting marketing or social media communication
