Position Overview

We are seeking a professional, organized, and energetic Administrative Assistant to support a family of real estate and related companies. This role serves as a key point of contact for customers, agents, and tenants, ensuring smooth daily operations across three main areas:
Administrative Support, Property Management Assistance, and Marketing Assistance.

Key Responsibilities Administrative Support
  • Greet and assist customers, clients, and visitors for all departments at our Gallatin location
  • Answer and route incoming calls for the Reliant Realty Gallatin office
  • Process agent commission payments accurately and efficiently
  • Handle and record escrow funds in compliance with company and regulatory standards
  • Review transaction documents submitted by agents for completeness and accuracy
  • Coordinate and plan office events, meetings, and celebrations
  • Review agent compliance with company and local real estate board requirements (licenses, insurance, and dues)
  • Onboard and terminate agents
  • Keep the office tidy and organized
  • Maintain and stock office supplies
Property Management Support
  • Answer and direct phone calls for the entire property management division
  • Respond promptly to tenant leads and inquiries
  • Provide additional administrative support to the property management team as needed
Marketing Assistance
  • Support the Marketing Director with day-to-day tasks and project execution
  • Assist in creating and updating Canva templates and marketing materials
  • Perform other marketing-related administrative duties as assigned
Qualifications
  • Previous administrative or office support experience (real estate or property management experience preferred)
  • Excellent communication and interpersonal skills
  • Strong attention to detail and accuracy
  • Proficiency in Microsoft Office Suite, Google Workspace, and Canva
  • Ability to multitask, prioritize, and work independently in a fast-paced environment
  • Positive, professional demeanor and a team-oriented attitude
