Essential Duties and Responsibilities Promptly, accurately, professionally and courteously receives all telephone calls and visitors and directs and/or records and relays messages.Superior time management skills represented by reporting to work regularly and on time, leaving and returning from lunch on a set scheduled time, and leaving for the day at the end of shift.Proficient at using all features of the telephone system and voicemail (M365 Teams & Call Tower portal).Opens and appropriately stamps delivered mail then sorts into appropriate folders for distribution.Signs for deliveries when necessary and notifies recipients.Orders and dispenses supplies when necessary.Keeps immediate supervisor well-informed of activities, results of efforts and problems identified/potential problems; recommends corrective actions to immediate supervisor.Respects confidentiality in discussing staff, customers and organizational matters.Performs routine office tasks necessary for the operation and presentation of a professional office as observed by the supervisor, including external errands such as ordering/pick‑up lunch for meetings, pick up/drop off US Mail, Fed Ex, bank deposits, money orders, etc. as needed.Conducts oneself appropriately and professionally.Assists with Human Resources Daily Duties.Makes badges for visitors, staff, and contract workers.Assists with distribution of documents and other data to keep staff informed of changes and actionable items.Assists with development and/or distribution of company newsletter, company information flyers, and other broad communications.Required Education & Experience
High school diploma or GED; or six to 12 months of related experience and/or training; or an equivalent combination of education and experience.Customer satisfaction skills, including dealing effectively with the public, both in person and over the telephone.Computer applications related to the work (M365 SharePoint, One Drive, Microsoft Word, Excel, Outlook, etc.).Standard office administrative practices and procedures, including the use of standard office equipment.Ability to effectively present information in one‑on‑one and small group situations to customers, clients and other employees of the organization.Working Conditions
Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, and to attend meetings at various sites within and away from Galveston.Strength to lift and carry materials weighing up to 20 pounds.Vision to read printed materials and a computer screen.Hearing and speech to communicate in person and over the telephone.Regular exposure to all weather conditions, especially hot, humid and/or rainy weather, combined with regular work time indoors in environmentally controlled conditions.Necessary
