Overview and Purpose
The Data Administrator will play a critical role in supporting the Arctic Security Cutter (ASC) Program by managing, organizing, and maintaining program data across multiple systems and platforms. This role is responsible for ensuring accuracy, consistency, and compliance of program records, technical documentation, project files, and contractual data. The ideal candidate is highly meticulous, methodical, and comfortable working in a fast-paced government shipbuilding environment with strict documentation and security requirements.
Essential Duties and Responsibilities This position is responsible for the following:

Maintain and organize program records, digital files, drawings, reports, and technical documentation.Ensure all program data is accurate, complete, and aligned with internal and government standards.Support Document Control processes, including version tracking, approvals, archive maintenance, and distribution.Monitor submission deadlines for data deliverables and ensure timely routing for review and approval.Manage data entry, updates, and quality control in program platforms such as SharePoint, ERP systems, project management tools, and government-required portals.Generate routine and ad hoc data reports for leadership, engineering, project managers, and stakeholders.Assist with maintaining dashboards, logs, trackers, schedules, and data summaries.Support the ASC team with data calls, reporting requirements, and documentation requests from internal departments, subcontractors, and government representatives.Assist with meeting preparation by maintaining agendas, notes, and action reports.Coordinate data flow between engineering, planning, project controls, supply chain, quality, and other functional areas.Ensure all data processes follow government compliance requirements, including confidentiality, security standards, and recordkeeping rules.Support audits, inspections, and compliance reviews by preparing organized, accurate data packages.Protect sensitive and controlled information in accordance with program and federal guidelines.Identify data management gaps and propose process improvements to enhance accuracy, efficiency, and accessibility.Support development of new digital forms, templates, workflows, and naming conventions.Help train users in data management procedures and system best practices.Required Education & Experience
Minimum two (2) years in data administration, document control, records management, project coordination, or similar administrative roles.Familiarity with project management tools (e.g., SharePoint, Smartsheet, Primavera, MS Project)Experience and strong knowledge of M365 (Outlook, SharePoint, One Drive, Teams, MS Office, including Word, Excel, PowerPoint).Experience with document control processes or configuration management preferred.Experience with government data requirements such as CDRLs, deliverables, or controlled documents.Active security clearance or able to obtain and maintain a security clearance (if required by the program).Working Conditions
Must possess mobility to work in a standard office setting and use standard office equipment and be able to attend meetings at various sites within and away from office.Strength to lift and carry materials weighing up to 20 pounds.Vision to read printed materials and a computer screen, including the ability to look at a computer screen for at least eight hours each day.Regular exposure to all weather conditions, especially hot, humid, and/or rainy weather, combined with regular work time indoors in environmentally controlled conditions.Some travel to shipyards, partner sites, or government facilities may be necessary depending on program needs.Necessary
