The Galveston County Apartment Association (GCAA) is a nonprofit organization serving the multifamily industry in Galveston County for more than 40 years. As a local affiliate of the Texas Apartment Association (TAA) and the National Apartment Association (NAA), GCAA provides education, advocacy, networking, and resources to owners, managers, service providers, and industry professionals. Our mission is to strengthen the local rental housing community through outreach, professional development, and strong industry partnerships.
Position:Association Executive (Part-Time) 25–35 hours per week | On-site | Galveston, Texas | Hourly
Position Overview
GCAA is seeking an Association Executive to support the association's daily operations and member services. This role is ideal for someone who is proactive, organized, and comfortable managing a wide range of administrative and customer-facing responsibilities. The Coordinator will oversee communication, maintain records, assist with event planning, support membership activities, and help ensure the association operates efficiently and professionally. The position reports directly to the Board of Directors and interacts regularly with state and national associations.
Key Responsibilities- Maintain accurate records, files, membership data, and association documents
- Oversee communication including email, phone inquiries, social media updates, and member outreach
- Manage scheduling and logistics for monthly meetings, trainings, and special events
- Support membership growth and retention through outreach and relationship management
- Coordinate with vendors, members, and community partners
- Prepare materials such as packets, announcements, and event registrations
- Design flyers, graphics, and promotional materials in Canva for events and member communications
- Plan, schedule, and manage social media content across platforms, including running Meta (Facebook/Instagram) ad campaigns to support membership and event promotion
- Bookkeeping for a non-profit, including A/P, A/R, and Quick Books entries
- Maintain and update budget tracking, membership dues, and financial reports in Excel
- Represent GCAA at select community or industry events
- Provide general office support and uphold strong customer service standards
- Canva — proficiency creating flyers, social graphics, and event materials
- Excel — comfortable building and maintaining spreadsheets, budgets, and data records
- Quick Books — experience with bookkeeping, A/P, A/R, reconciling, and financial entries
- Non-Profit Experience — prior work with a nonprofit or membership-based organization
- Social Media Marketing — experience managing organizational social media accounts and content calendars
- Meta Campaign Management — experience creating and running paid ad campaigns on Facebook/Instagram (Meta Ads Manager)
- 3+ years of administrative experience preferred
- Strong organizational, time-management, and multitasking skills
- Proficiency with Microsoft Office, Google Workspace, data entry, and record-keeping
- Clear written and verbal communication skills
- Ability to work independently, solve problems, and manage competing priorities
- Customer service or client-facing experience preferred
- Must have association experience
- Bachelor's degree in business, administration, or a related field preferred but not required
