HOURS:
Part time-29 hours/week (including potential weekend work with retreats, gatherings, and classes)
PAY RANGE: $23.00-$27.00 Based on experience, education and qualifications.

The Administrative Assistant provides administrative support for Children's Faith Formation, Sacramental Preparation, and Youth Ministry programs. This role supports programs including FISH (Grades 1-5), Angel Fish (Pre-K and Kindergarten), Vacation Bible School, Children's Liturgy of the Word (Grades 1-5), Edge, Life Teen, Peer Leadership and Confirmation.
The position assists the Directors in managing the Children's Faith Formation and Youth Ministry offices through program coordination, document preparation, volunteer and catechist support, and maintenance of accurate records.

- Children's Faith Formation (15 hours) Youth Ministry (14 hours)
- Generate weekly attendance sheets and prepare copies of catechist materials for classes.
- Record program registrations in PDS for Children's Faith Formation and Youth Ministry.
- Collect sacramental documents for both programs.
- Record and track Confirmation sponsor forms.
- Monitor family records to ensure program requirements are being met.
- Communicate with families regarding delinquent program fee payments.
- Email families when a child misses class and coordinate make-up materials as needed.
- Order supplies as requested by the Children's Faith Formation and Youth Ministry Directors.
- Communicate basic program information to families.
- Complete additional administrative or program tasks as agreed upon by the Children's Faith Formation Director, Youth Ministry Director, and Business Manager.
- Be present at CLOW/ Confirmation Sessions (Sundays), Life Nite (Tuesday), Fish/EDGE (Wednesdays)
- Maintain files, binders, and spreadsheets as needed.
- Organize Children's Faith Formation materials, crafts, bins, and seasonal Faith Formation items in the basement storage area.
- Obtain and maintain necessary Safe Environment certification.
- Communicate and work closely with Faith Formation and Youth Ministry team members, parish ministry leaders, and other staff.
- The position primarily involves work on parish premises and in an office setting, requiring frequent use of standard office equipment such as computers, AV, telephones, printers, credit card terminals, postage machines, and filing systems.
- Occasional evening and weekend work may be required to support department programs, operational needs, or campus events.
- Must be available to adjust the work schedule as needed to meet organizational deadlines, operational demands, ministry activities or special projects.
- Regular interaction with students, staff, faculty, and visitors in a professional and faith-based environment.
- Some local travel may be required for meetings, trainings, or work-related events.
- Ability to remain seated for extended periods while performing administrative and computer-based tasks.
- Frequent walking, standing, and movement around the parish or office facilities to support programs and operational needs.
- Ability to lift and carry items up to 25 pounds, such as materials, supplies, and event equipment.
- Manual dexterity required for operating office equipment, preparing materials, and managing paperwork.
- Visual and auditory ability to communicate effectively with colleagues, students, and visitors in person, via email, and by phone.
- Must be able to set up and dismantle chairs, tables, and other equipment required for meetings, programs, or campus activities as needed.
