Accounts Payable Manager

The Accounts Payable Manager is a full-time, exempt leadership role responsible for overseeing all accounts payable functions for a services-based company. This position manages the end-to-end AP process, ensures strong internal controls, supports job cost accuracy, and partners closely with operations, procurement, and finance leadership. Experience in landscape or construction-style environments is considered a plus but is not required.

• Lead, manage, and develop the accounts payable team, including workload prioritization and performance management
• Own the full AP lifecycle: invoice intake, coding, approvals, payment processing, and record retention
• Establish, document, and enforce AP policies, procedures, and internal controls
• Drive continuous improvement and automation within the AP function
• Oversee high-volume invoice processing across multiple branches, divisions, and service lines
• Ensure accurate coding to general ledger accounts, job numbers, cost codes, and departments
• Review and approve payment runs (checks, ACH, and wires) in Sage Intacct
• Manage vendor payment terms to optimize cash flow while maintaining strong vendor relationships
• Oversee vendor and subcontractor setup and maintenance, including W-9s, insurance certificates, and compliance documentation
• Resolve escalated vendor disputes related to pricing, quantities, or job allocations
• Serve as the primary AP point of contact for key vendors and subcontractors

• Ensure timely and accurate posting of costs to jobs, routes, and projects
• Partner with operations and branch managers to ensure invoices align with contracts, bids, and work orders
• Support accurate job cost reporting, margin analysis, and operational decision-making

• Own AP-related close activities, including accruals, reconciliations, and cutoff procedures
• Reconcile the AP subledger to the general ledger in Sage Intacct Prepare AP aging, cash requirements, and vendor spend reports
• Support budgeting, forecasting, and cash flow planning

• Oversee 1099 preparation, review, and filing for vendors and subcontractors
• Maintain audit-ready documentation and support internal and external audits
• Ensure compliance with company policies and applicable accounting standards

• Sage Intacct (required): AP, Purchasing, Job Costing, and Dimensions
• AP automation and document management tools
• Microsoft Excel (advanced), Google Workspace

• 5+ years of accounts payable experience, with at least 2 years in a supervisory or manager role
• Required hands-on experience with Sage Intacct
• Strong understanding of job costing in service-based industries
• Experience managing high-volume, multi-entity or multi-branch AP environments
• In-depth knowledge of 1099 reporting requirements
• Strong leadership and team development skills
• Excellent attention to detail and process discipline
• Ability to partner effectively with operations and field leadership
• Strong analytical, problem-solving, and communication skills
• Ability to manage deadlines in a fast-paced, operationally driven environment
• Office-based
• Extended hours may be required during month-end and year-end close

• Experience in the landscape, construction, or facilities services industries is a plus
• Familiarity with construction-style or project-based job costing is a plus
• Experience implementing or optimizing AP workflows in Sage Intacct
• Background in process improvement or AP automation initiatives
