Reporting to the Warehouse Manager, the Senior Registrar plays a key leadership role in overseeing property management workflows and processes within the Warehouse Team. This position is responsible for managing all documentation and procedures related to incoming and outgoing property, collaborating closely with cross‑functional teams to ensure accurate tracking of property under Julien’s Auctions’ care. The Senior Registrar maintains detailed and accurate records of property condition, needs, and changes, and coordinates receiving and fulfillment requests and is responsible for coordinating the efficient movement of property.
Responsibilities- Responsible for all incoming deliveries: coordinate intake logistics with the Ops Admin department before deliveries, act as onsite point person during deliveries, undertaking initial condition evaluations and inventory processes, and coordinating with other staff to make sure that all property and supporting documentation are accounted for and inventoried accurately.
- Responsible for all returns and collections: coordinate the pick and pull processes for all post‑sale consignor returns or buyer purchases, including managing dock appointments and pick‑up requests, ensuring all property is released with supporting documentation and inventory system is updated and accurate.
- Maintain accurate records of all inventory; including condition reports, repair or restoration work, storage locations, all certificates or supporting documentation related to provenance and/or authenticity.
- Assist in the development and implementation of processes to grow and scale best‑practice processes across the Warehouse, Operations, and Specialist departments, including the integration of new software, migration of current inventory to new systems, participating in a full inventory process for the warehouse, and leading process improvements for inventory management processes in collaboration with the Operations leadership team.
- Update the inventory system in a timely manner to ensure all information relating to receiving, fulfilment, warehouse movements, temporary releases for exhibition, reconsignments, returns, is accurately documented.
- Assist with any ad‑hoc tasks, duties, or responsibilities as assigned by the Warehouse Manager.
- Bachelors Degree in arts management, library sciences, museum studies, project management, or other collections based program. A combination of experience and certifications may be considered.
- 5–7 years of experience working in auction house registration, collections management, museum registration, or a related field.
- Experience managing and overseeing staff to accomplish project based as well as evergreen goals.
- Proven ability to manage simultaneous workflows with competing deadlines across multiple departments, teams or stakeholders.
- Substantial experience handling and managing logistics for unique collections including art, cultural heritage, memorabilia, books, props, and other types of collectibles.
- Experience with collections databases and managing data related to collections management processes. Experience with project management platforms such as Smart Sheets is a plus.
- Demonstrated understanding of best practices related to collection and property management. Substantial lifting, pushing, pulling, and carrying of property is required.
- Must be able to lift a minimum of 75 pounds and comfortable working in a warehouse environment.
- OSHA Forklift Certification is a plus.
