The ADS Warranty Administrator is tasked to accurately process, track, and manage warranty claims in compliance with manufacturer and company guidelines, ensuring timely reimbursement, minimizing claim rejections, and supporting customer satisfaction through efficient administrative support.
Principal Responsibilities- Process and submit warranty claims accurately and in a timely manner according to manufacturer and company guidelines
- Review repair orders, parts usage, labor times, and documentation to ensure claim compliance
- Monitor warranty claim status, follow up on pending claims, RMA, and resolve rejections or chargebacks
- Maintain accurate warranty records, reports, and supporting documentation
- Communicate with customer centers, vendors, technicians, service advisors, regarding warranty issues.
- Ensure adherence to warranty policies, procedures, and audit requirements
- Track warranty reimbursements and reconcile payments against submitted claims
- Identify trends in claim denials or recurring failures and report findings to management
- Support internal teams with warranty training, policy updates, and process improvements
- Assist with warranty audits and implement corrective actions as needed
- Annually compile and submit policy revisions to improve the warranty process for all parties.
- Ability to work independently and be a self-starter.

- Excellent communication skills with a strong customer focus.
- Go-to person in current role; valued by peers for insights.
- Minimum 1–3 years of experience in warranty administration, service administration, or a related role.
- Experienced with manufacturer or vendor guidelines and compliance.
- Familiarity with service repair orders, parts documentation, and labor operations.
- Proficiency in computer systems and Microsoft Office (Excel, Word).
- Strong attention to detail with the ability to manage multiple claims and deadlines.
- Effective communication skills for coordinating with internal teams and external customer centers and vendors.
- Work performed in a professional office environment involving walking, stairs, extended periods of sitting, frequent computer use; occasional lifting up to 25 lbs.
