The Executive Assistant to the Business Area President and Divisional President plays a critical role in enabling senior leadership effectiveness at the highest level of the organization. This position goes beyond traditional administrative support – acting as a trusted partner who ensures focus, alignment, and execution across a complex, global business environment.
Operating at the intersection of strategy and operations, the role requires exceptional organizational judgment, business acumen, and the ability to anticipate needs, manage competing priorities, and drive outcomes with precision. The Executive Assistant serves as a central coordination point across leadership teams, maintaining the highest standards of professionalism, discretion, and adaptability in a fast‑paced, future‑oriented setting.
Key Responsibilities- Provide high‑level, proactive support to the Business Area President and Divisional President, including complex calendar management, global travel coordination, and preparation of executive materials. Act as a gatekeeper and enabler of leadership focus.
- Coordinate and prepare materials for senior leadership meetings, Business Board sessions, and key strategic reviews.
- Orchestrate BA; division‑wide and cross‑functional meetings, ensuring clarity of purpose, disciplined timings, and high‑quality outputs.
- Capture key decisions, assign and monitor action items, and drive follow‑through across teams. Ensure accountability and timely delivery against commitments.
- Serve as a central interface between senior leadership, internal stakeholders, and external partners. Draft, refine, and manage executive‑level correspondence.
- Identify and implement improvements in ways of working, administrative processes, and coordination mechanisms. Drive efficiency and structure in a dynamic environment.
- Handle highly sensitive information with absolute discretion. Exercise sound judgment in prioritization, escalation, and decision support.
- Associate’s degree required;
Bachelor’s degree preferred. - Minimum of 5+ years of experience supporting senior executives, ideally in a global, matrixed, or industrial organization.
- Proven ability to operate at senior leadership level, managing complex schedules, shifting priorities, and high‑pressure situations with composure.
- Strong proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); experience with collaboration platforms such as Teams and SharePoint.
- Excellent written and verbal communication skills, with the ability to produce executive‑ready materials.
- High level of business judgment, anticipation, and attention to detail.
- Demonstrated ability to work independently, think ahead, and execute with speed, precision, and discretion.
