Culinary Admin Coordinator

We're looking for a detail-oriented, self-starting Culinary Admin Coordinator to own vendor ordering, inventory purchasing, and compliance recordkeeping for our kitchen — while also supporting a few HR-adjacent tasks like scheduling. You'll work closely with our Kitchen Manager, customer service, and accounting teams, and you'll be the person who keeps our marketplace orders, supply purchasing, and health/safety records running on time and accurately.
This role suits someone who's worked in hospitality or catering and is comfortable juggling a wide range of responsibilities — from vendor calls to spreadsheets to onboarding paperwork — without losing track of the details.
What you'll do:
- Handle all marketplace vendor communication and ordering
- Track marketplace and delivery supplies inventory, and hold purchasing authority for containers, ice packs, and delivery bags
- Own our twice-weekly order-cutoff process end to end — confirming there are no late edits or pending customer requests, prepping orders for our ordering system, and verifying they synced correctly
- Track and digitally store plating guides, wall sheets, event orders (BEOs), food-safety (HACCP) records, employee health department credentials, health inspections, and pest management records
- Maintain equipment preventive-maintenance schedules
- Participate in physical inventory counts and handle inventory data entry
- Enter employee schedules into our payroll system
- Monitor our delivery geofence system
What we're looking for:
- 2+ years in a purchasing, catering coordination, or back-office/admin role at a restaurant, catering company, or meal-delivery business — with hands-on experience ordering from vendors and at least some compliance or recordkeeping responsibility
- Inventory management/supply chain experience — you'll be managing ordering and inventory for marketplace, ingredients, and delivery supplies
- Tech-savvy — comfortable learning and using our software systems (Quip, Parsley, Navego, and similar tools), plus general comfort with Word and Excel for everyday admin work
- Highly detail-oriented and reliable with recurring deadlines
- Trainable, curious, self-starting, and adaptable
- Comfortable voicing an honest opinion when asked
Nice to have:
- Front-of-house supervisory background (e.g., host/floor manager) in place of direct purchasing experience, for a candidate otherwise strong on traits
- Familiarity with catering/event logistics (BEOs, event tracking) and food-safety terminology
- Experience with Google Workspace
- Prior hands-on experience specifically with Parsley, Navego, or Paychex (we'll train on our specific tools either way)
- Comfort with basic spreadsheet analysis
