Position SummarySeeking a detail-oriented Payroll Specialist to support U.S. payroll operations across multiple business units within the mining and heavy equipment services environment. This role is responsible for processing accurate and timely payroll while ensuring compliance with federal, state, and local regulations. The Payroll Specialist will partner closely with HR, Finance, and Operations teams to maintain payroll integrity across field and corporate employees.
The ideal candidate has experience handling payroll for multi-state operations, preferably within manufacturing, mining, or field service environments.
Key Responsibilities- Payroll Processing & Administration
- Process bi-weekly and/or semi-monthly payroll for hourly and salaried employees across multiple U.S. locations.
- Review and validate timesheets, overtime, bonuses, commissions, and deductions.
- Ensure accurate payroll entries for new hires, terminations, promotions, and employee changes.
- Maintain payroll records in compliance with company policies and regulatory requirements.
- Ensure compliance with federal, state, and local payroll tax regulations.
- Coordinate payroll tax filings and reconciliations.
- Support internal and external audits related to payroll and employee compensation.
- Maintain compliance with wage and hour regulations, including overtime rules for field service employees.
- Maintain payroll data within ERP and HRIS systems (such as SAP, ADP, Workday, or similar platforms).
- Reconcile payroll reports to the general ledger and support month-end close activities.
- Assist with system updates, payroll integrations, and process improvements.
- Partner with HR to ensure accurate employee data and benefits deductions.
- Work with Finance on payroll accruals and reporting requirements.
- Support Operations teams with payroll-related inquiries for field technicians and service staff.
- Respond to employee payroll inquiries and resolve discrepancies in a timely manner.
- Assist with year-end processes including W-2 preparation and distribution.
- Bachelor’s degree in Accounting, Finance, Business, or related field preferred.
- 3+ years of payroll processing experience, preferably in multi-state environments.
- Experience in manufacturing, mining, or field service organizations strongly preferred.
- Experience with payroll systems such as ADP, SAP, Workday, or similar ERP platforms.
- Knowledge of payroll tax regulations and GAAP-related payroll processes.
- Certified Payroll Professional (CPP) is a plus.
- Experience supporting hourly workforce environments (overtime, shift differentials, field pay structures).
- Exposure to union payroll structures is beneficial.
