Position Summary

The Maintenance Supervisor will oversee the upkeep and repair of buildings, equipment, vehicles, and warehouse, while managing one maintenance person and collaborating with outside vendors. Position requires facility expertise to diagnose and repair minor issues. This is an on-call position.

Essential Duties and Responsibilities
  • Perform or supervise minor facility repairs such as plumbing, electrical, HVAC systems, painting, outdoor sprinkler repair and minor carpentry.
  • Ensure the facilities are safe, functional, and compliant with licensing and contract standards.
  • Develop and implement preventative maintenance schedules.
  • Assign tasks to maintenance workers and oversee their performance.
  • Lead, train, and manage maintenance personnel.
  • Monitor schedules to ensure tasks are completed in a timely manner.
  • Inspect the grounds and buildings regularly to identify issues and address potential risks.
  • Schedule and coordinate on-site vendors for inspections and specialized services.
  • Follow up with contractors when proposals for services have not been received.
  • Obtain three written proposals for any job exceeding $5000.
  • Proposals must be presented to the COO for approval and before scheduling work.
  • Immediately respond to urgent repair requests such as outages, water issues, etc.
  • Respond, update, and resolve repair requests in the FMX database system in a timely manner.
  • Review and track progress of repair requests in FMX.
  • Generate weekly open repair requests report for COO review.
  • Ensure functionality and usability of the warehouse.
  • Maintain tools, equipment, and supplies inventory.
  • Place supply orders, if necessary. Approval must be obtained by the COO before items are purchased.
  • Communicate and advise COO on recommendations for equipment replacement and capital improvements for the agency annual budget.
  • Ensure agency vehicles are clean, fueled, properly maintained, inspected, and licensed.
  • Create an on-call schedule for the Maintenance Supervisor and maintenance personnel. Present monthly schedule to COO for approval.
  • Conduct performance evaluations for maintenance staff.
  • Schedule nighttime lighting audits for properties.
  • Adjust outdoor lighting times to reflect time/season changes.
  • Coordinate monthly fire drills at all properties ensuring proper paperwork is submitted to COO.
  • Monitor electrical, janitor and riser rooms for compliance with the Fire Marshall.
  • Ensure exit lights in buildings are operational monthly.
Other Operational Duties
  • Coordinate and ensure office relocations.
  • Support all activities of COO and other business office staff when required.
  • Other duties as requested by COO.

Education and Experience
  • High School Diploma required; an associate’s degree in Facilities Management or related field.
  • Minimum of 3-5 years of maintenance experience.
  • Minimum 2 years management experience.
Physical Requirements
  • Must be able to traverse property and facility to diagnose building issues and plan repairs or maintenance.
  • Must be physically able to perform repairs as needed.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift twenty-five pounds at a time.
Computer Skills
  • Proficient in Office 365 and maintenance management software.
