Job Summary:

The Administrative Assistant – Travel & Operations Support provides high-level administrative and logistical support with a primary focus on complex domestic and international travel coordination. This role is responsible for managing travel logistics, calendars, meeting support, and administrative processes to ensure seamless execution for leaders and team members in a fast-paced, high-performance environment. The ideal candidate is highly organized, proactive, and detail-oriented, with strong experience coordinating travel for senior leaders and cross-functional teams.

Key Responsibilities:

Administrative & Operational Support

  • Provide day-to-day administrative support, including document preparation, filing, data entry, and maintaining internal databases.
  • Manage correspondence, emails, and administrative requests with accuracy and professionalism.
  • Support multiple leaders and teams while prioritizing tasks in a fast-paced environment.

Scheduling & Calendar Management

  • Coordinate calendars, meetings, and appointments across multiple time zones.
  • Support onsite and offsite meetings, including room bookings, agendas, materials, and logistics.
  • Anticipate scheduling needs and proactively manage conflicts or changes.

Travel Coordination (Primary Focus)

  • Arrange and manage all aspects of business travel, including flights, hotels, ground transportation, and itineraries.
  • Coordinate complex domestic and international travel, often involving last-minute changes.
  • Prepare and submit domestic and international expense reports in compliance with company policies.
  • Ensure travelers are prepared with all necessary documentation and travel details.

Communication & Coordination

  • Serve as a point of contact for internal teams, external partners, and vendors related to scheduling and travel.
  • Draft and edit professional correspondence, reports, and presentations as needed.
  • Provide logistical support for internal meetings and track meeting schedules and requirements.

Meeting & Event Support

  • Organize meetings and events, including logistics, materials, and follow-up actions.
  • Assist with coordination of offsite events and business-related travel schedules.

Information Management

  • Maintain accurate records and confidential information with discretion.
  • Assist in preparing reports, summaries, and presentations as requested.

Required Qualifications:

  • 5+ years of administrative or executive support experience, with a strong emphasis on travel coordination.
  • Proven experience arranging complex domestic and international travel for senior-level leaders.
  • Experience preparing international expense reports.
  • Strong organizational skills with the ability to manage multiple priorities and changing schedules.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office Suite and related administrative tools.
  • High level of professionalism and ability to handle sensitive information with confidentiality.
  • Proactive, detail-oriented, and able to anticipate needs and resolve issues independently.

Preferred Qualifications:

  • Experience supporting leadership in a fast-paced or technical environment.
  • Motorsport industry experience is a plus.
  • Finance and/or legal administrative experience is a plus.
  • Fast-paced, high-demand environment requiring flexibility and adaptability.
  • Role requires strong attention to detail and forward planning.
