Position DescriptionJob Summary
The Administrative Assistant to the Dean of Health Sciences & Wellness Programs provides comprehensive administrative, operational, and project coordination support to the Dean and division. The position serves as a central point of communication and coordination for Health Sciences and Wellness programs and assists with strategic initiatives designed to support workforce development, program expansion, and community partnerships.
In addition to traditional administrative responsibilities, the position provides project and program support related to health sciences pathway development, new program implementation, healthcare partnerships, workforce initiatives, and special projects. The position works collaboratively with faculty, staff, students, healthcare partners, K-12 institutions, and community stakeholders to support division priorities and advance the mission of the college.
Essential Duties and Responsibilities Administrative Support- Provide administrative support to the Dean of Health Sciences & Wellness Programs.
- Maintain the Dean’s calendar, schedule meetings, and coordinate appointments.
- Prepare correspondence, reports, presentations, meeting agendas, and other documents.
- Maintain division files, records, and confidential information.
- Coordinate travel arrangements, purchasing requests, budget documentation, and expense reporting.
- Serve as a primary point of contact for internal and external inquiries.
- Assist with division communications and information dissemination.
- Assist with the coordination and implementation of special projects and strategic initiatives within the division.
- Support planning and execution of new program development activities.
- Monitor project timelines, track deliverables, and assist with follow-up activities.
- Collect, organize, and maintain program-related data and reports.
- Prepare summaries, presentations, and supporting documentation for administrative and strategic planning purposes.
- Coordinate meetings, work groups, and project teams associated with division initiatives.
- Provide administrative and operational support for assigned allied health programs.
- Assist with recordkeeping, reporting, purchasing, and event coordination.
- Assist with accreditation, compliance, and regulatory documentation as assigned.
Education and Experience Requirements
Minimum Qualifications
- Associate degree from a regionally accredited institution.
- Five (5) years of progressively responsible experience in administrative support, office management, healthcare administration, education, project coordination, or related field.
- Demonstrated organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Strong interpersonal, written, and verbal communication skills.
- Proficiency in Microsoft Office Suite and business office technology.
- Ability to maintain confidentiality and exercise sound judgment.
Preferred Qualifications
- Bachelor’s degree from a regionally accredited institution in a related field.
- Experience in higher education, healthcare, allied health, workforce development, or a related environment.
- Experience coordinating projects, programs, partnerships, events, and stakeholder engagement activities.
- Experience supporting program growth, educational pathways, recruitment, or workforce initiatives.
- Experience working with K-12 partnerships, dual enrollment, career pathways, or workforce development programs.
- Experience collecting, tracking, and reporting operational or programmatic data.
- Demonstrated ability to manage multiple priorities while working independently and collaboratively in a dynamic environment.
Physical Requirements
The work is sedentary in nature although includes periods of walking, bending, stooping and lifting. The employee must occasionally lift and/or move up to 25 pounds. Specific work may include extended periods of time viewing a computer. Work may include operation of a motor vehicle.
