Parts and Warranty Manager

Job Summary

The Parts and Warranty Manager oversees parts purchasing, inventory management, component setup, coding and tracking in TMT, and warranty recovery for both OEM and aftermarket parts and labor.

Essential Duties and Responsibilities
  • Maintain inventory levels using Min‑Max thresholds for all shops.
  • Conduct quarterly inventory cycle counts and adjustments.
  • Manage and report the full year‑end inventory count for the company.
  • Set up all new part item details in TMT.
  • Analyze trends in usage, cost, and failures.
  • Oversee tire inventory usage and the core bank program.
  • Monitor shop supplies usage and cost.
  • Process new and defective part returns, ensuring proper credits.
  • Handle obsolete parts returns, refunds, and TMT adjustments.
  • Improve parts turnover rate.
  • Improve parts filled from stock rate.
  • Reduce part delays and backorders.
  • Set up and monitor preferred vendor usage.
  • Configure automatic parts reorders at least once a week for all shops.
  • Set up VMRS coding on all parts and labor items in TMT.
  • Update new parts required for incoming equipment.
  • Create and maintain a process for tracking supply items versus billable parts.
  • Maintain accurate parts pricing.
  • Establish and maintain relationships with manufacturer warranty representatives and aftermarket warranty companies.
  • Review warranty repair orders for completion, accuracy, and legibility per policies and procedures.
  • Scan monthly repair orders for potential warranty claims based on VMRS codes.
  • Return improperly completed repair orders for correction and track through completion.
  • Check each repair order against the vehicle's service history to avoid duplicate claims.
  • Monitor special warranty program usage for diagnosis time and straight time repairs.
  • Submit warranty claims to manufacturers using each vendor’s process, websites, and tools.
  • Maintain records of all claims submitted, returned, rejected, paid, and their status.
  • Control physical parts to be returned, inspected, or scrapped by the manufacturer or other warranty authority.
  • Provide weekly, monthly, and annual reports to management on claims status and monetary amounts recouped.
  • Report any conditions jeopardizing the safety of assets to management.
  • Manage manufacturer‑issued campaigns: open work orders in TMT, procure parts, send SOPs, track work orders, and report 100% completion within the designated timeframe.
  • Establish monthly and annual warranty recovery targets based on equipment age profiles across all divisions.
  • 5‑day in‑office requirement unless traveling for business
  • Up to 25% travel required

Required Qualifications
  • Bachelor's degree or 5+ years of experience in parts and warranty management in the trucking industry.
  • In‑depth product knowledge of fleet equipment, repair, and maintenance in the trucking industry.
  • Experience with TMT maintenance software.
  • Strong negotiation skills.
  • Experience with OEM warranty systems and claim processing.
  • Experience with aftermarket parts warranty claim processing.
  • Proficiency in Microsoft Office suite.
  • Excellent verbal and written communication skills.
  • 5‑day in‑office requirement unless traveling for business
  • Up to 25% travel required
