Location: Genf
The Executive Assistant acts as a strategic partner to the CIO, ensuring seamless execution of priorities across a complex, global IT organization. This role requires immediate impact, autonomy, and the ability to operate confidently at executive level in a fast-paced international environment.
This is a fixed-term position (6 months) covering a maternity leave. The successful candidate must be able to step in quickly and operate with minimal ramp-up time.
Key Responsibilities 1. Strategic Agenda & Priority Management- Manage a highly complex, international calendar across multiple time zones.
- Proactively anticipate conflicts and optimize scheduling in line with strategic priorities.
- Prepare executive briefings, background documentation, and structured meeting materials.
- Ensure full preparation for Executive Committee meetings, Board interactions, and key stakeholder engagements.
- Coordinate IT Leadership Team meetings, governance forums, and steering committees.
- Prepare high-quality presentations, dashboards, and executive reports.
- Track decisions, follow up on action items, and ensure disciplined execution.
- Act as a trusted gatekeeper while maintaining strong relationships across the organization.
- Serve as a central interface between the CIO, global IT teams, corporate functions, and external partners.
- Facilitate alignment across regions and functions.
- Organize international travel, offsites, and strategic IT events.
- Support cross-functional initiatives and strategic IT projects as required.
- Consolidate and structure information to support executive decision-making.
- Ensure quality and consistency of executive documentation.
- Handle highly sensitive and confidential information with absolute discretion.
- Support governance and documentation processes.
- Maintain strong administrative rigor and operational excellence.
- 7–10+ years of experience supporting C-level executives in an international environment.
- Experience with in a global, matrixed organization.
- Exposure to IT or technology environments is strongly preferred.
- Ability to operate independently from day one.
- Fluent in French, English, and Italian (written and spoken) –
mandatory

- Advanced proficiency in MS Office (PowerPoint, Excel, Outlook).
- Strong ability to structure executive-level presentations and reporting materials.
- Outstanding organizational and prioritization skills.
- Strong anticipation and problem-solving capabilities.
- Executive maturity and sound judgment.
- High resilience and ability to perform under pressure.
- Clear, concise, and structured communication.
