Organizational Context

Organizational Setting: The post is located in the Records and Archives Section of the Knowledge Management and General Services Division in the Administration, Finance and Management Sector. The Section develops and implements policies, procedures and best practices for the management of WIPO s organizational records and archives, and supports knowledge management and enterprise content management to meet business needs.

Purpose Statement: The Assistant Archives Officer contributes to the development and implementation of archival management policies and procedures to ensure the integrity, authenticity and accessibility of WIPO’s archives. S/he assists with daily operations of the WIPO Archives by accessioning and processing archival records, handling reference requests, digitizing selected archival collections, and promoting archival services throughout the Organization. The role also supports physical records management and contributes to long-term preservation of digital archives.

Reporting Lines: The incumbent works under the overall supervision of the Head, Records and Archives Section and under the direct supervision of the Archives Management Officer.

Duties and Responsibilities
  • Identify and access archival records into the WIPO Archives according to approved policies and procedures.
  • Appraise, arrange and describe archival records in accordance with international standards (e.g., ISAD(G)) and best practices.
  • Perform rehousing and basic preservation treatments of archival materials.
  • Create finding aids.
  • Contribute to the development and maintenance of archival management systems.
  • Respond to reference and records retrieval requests according to internally defined guidelines.
  • Digitize selected archival collections and support digital preservation activities.
  • Contribute to the development and implementation of new tools and technologies related to archives.
  • Advise and support WIPO staff on archival policies and practices.
  • Participate in outreach activities to promote WIPO Archives.
  • Assist with physical records inventory, transfer and destruction activities.
  • Participate in projects as required.
  • Perform other related duties as required.
  • Requirements Education (Essential)

    First-level university degree in archival management; or a first-level university degree in a related field with certification in archival management.

    Experience (Essential)

    Relevant professional experience, preferably at least two years in archives management. Practical experience using archival management systems.

    Experience (Desirable)

    Professional archival experience in an international organization. Practical experience with archival digital preservation programs or systems. Experience with Microsoft 365 SharePoint.

    Language (Essential)

    Excellent written and spoken knowledge of French or English, and good knowledge of the other language.

    Job Related Competencies (Essential)
    • Good knowledge of archival principles and practices, and related international standards and best practices.
    • Practical knowledge of archival descriptive standards (e.g. ISAD(G)) and metadata standards.
    • Ability to work effectively within multi-disciplinary teams and liaise with stakeholders at different levels.
    • High level of customer-orientation.
    • Competent user of Microsoft Office applications and ability to adapt quickly to new software and tools.
    • Excellent communication and interpersonal skills and the ability to maintain effective partnerships in a multi-cultural environment with sensitivity and respect for diversity.
    • Willingness to learn and adapt to new archival practices and technologies.
