The Fiduciary Administrator requires a suitably qualified individual who will assist in the holistic and full administration process in the following teams:
- Advisory services team: Assistance in executing advisory-related services to clients as required from time to time. The advisory services require adherence to legislation, policies, and internal service level agreements.
- Deceased estates team: Deceased estate matters in terms of relevant legislation and specifically the Administration of Estates Act, 66 of 1965. This role provides assistance across all aspects of the estate administration process from start to finish.
Deceased Estates Team
Assist the Manager / Senior Estates Administrator with:
- Compiling a comprehensive list of all deceased estate assets, including bank accounts, investments, real estate, personal belongings and insurance policies.
- Reporting deceased estates to the Master of the High Court.
- Determining the fair market value of all assets in the estate for proper distribution.
- Informing known creditors of the deceased’s passing and managing the process of settling outstanding debts.
- Placing advertisements for creditors and accounts in newspapers and the Government Gazette.
- Arranging for the filing of necessary tax returns on behalf of deceased estates, including income tax and estate taxes.
- Opening estate bank accounts to manage incoming funds and make necessary payments for estate-related expenses.
- Keeping beneficiaries, creditors and legal professionals informed regarding estate administration progress and providing regular updates.
- Drafting Liquidation and Distribution Accounts.
- Distributing assets to beneficiaries as outlined in the Will and ensuring proper legal documentation is completed.
- Maintaining accurate records and applying strong attention to detail to avoid errors in deceased estate administration.
- Drafting Wills.
Advisory Services Team
Assist the Manager with:
- Maintain, organize, legal files, contracts, and records to ensure accuracy, confidentiality, and accessibility.
- Support the team in monitoring deadlines, filing requirements, and regulatory submissions to uphold compliance standards.
- Act as a point of contact for internal departments and external stakeholders, ensuring timely and professional correspondence.
- Uphold strict confidentiality protocols and demonstrate integrity in handling sensitive legal information.
- Prepare initial drafts of contracts, agreements, correspondence, and internal policies under the guidance of the manager.
- Ensure consistency, accuracy, and compliance in all drafted materials.
- Draft and manage professional correspondence with internal departments and external stakeholders.
- Matric / Grade 12 / National Senior Certificate
- Advantageous:
Certificate in Deceased Estate Administration, administrative, or secretarial qualification - 2-3 years in a legal, estates, administrative, or fiduciary environment
- Knowledge and technical know-how relating to all aspects of estates administration advantageous
- Previous experience working on Lexis Deceased Estate preferable
- Computer literate and technologically savvy, including Google Suite, Microsoft Office and administrative procedures and systems
- Bilingual in Afrikaans and English
