Administrative Specialist I
Position Summary: This position serves as an Administrative Specialist I in the Office of the President at the University of Georgia. The role involves a high level of confidentiality and includes greeting and assisting visitors, providing receptionist and administrative support for two Assistants to the President, supervising student workers, managing action files for annual and one‑time projects, coordinating correspondence, and providing backup support to the Administrative Associate III, Document Manager.
Responsibilities- Administrative and Reception Support (40%)
Provide front‑line telephone and guest reception service, field calls, take messages for Office staff, direct visitors, support office operations, manage calendars and travel coordination, and supervise student workers. - Project Management and Documentation (30%)
Manage action files for projects led by the Assistants to the President; coordinate project components for campus and university initiatives (e.g., University Cabinet, UGA Real Estate Foundation, Annual President’s Club Reception); sort and triage documents; monitor expediting status; and maintain workflow documentation. - Correspondence and Archiving (20%)
Draft, prepare, proofread, and distribute correspondence; maintain document and correspondence files; log outgoing and incoming mail; back up the Administrative Associate III, Document Manager with incoming mail. - Other Administrative Support (10%)
Handle incoming and outgoing calls for the Assistants to the President; greet and assist visitors; participate in office meetings and staff development; provide backup support to Office staff; and perform additional duties as assigned.

- Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook, Access), Adobe Acrobat, GAIL, and the President’s Office Database.
- Effective written and oral communication skills.
- Strong organizational skills with the ability to manage multiple projects independently.
- Discretion in handling confidential information.
Work at a desk for long periods, file and copy documents, transport and set up food, displays, and materials for events, and occasionally lift file boxes for archiving.
