Student Affairs Professional II

Position providing administrative and student services support for graduate programs in the Department of Counseling and Human Development Services at the University of Georgia. Acts as primary point of contact for student inquiries and liaises between the department, the UGA Graduate School, and other campus units.

Minimum Qualifications
  • High school diploma or equivalent and 2 years of related experience.
Responsibilities
  • Admissions and Enrollment Support (30%)
    • Provide information to prospective students regarding program requirements, admissions processes, and application procedures.
    • Respond to inquiries from applicants, students, and parents via email, phone, and in‑person communication.
    • Coordinate and support program information sessions and recruitment activities.
    • Review applications for completeness and follow up on missing documentation.
    • Process and route application materials using Grad Slate and Grad Status in accordance with established procedures.
    • Prepare and organize application materials for faculty review.
    • Enter and submit admissions decisions in the system following departmental guidelines.
  • Student Services and Records Support (45%)
    • Serve as a resource for current graduate students by providing guidance on registration, enrollment, and graduation processes.
    • Apply University and Graduate School policies and procedures when assisting with student requests such as schedule adjustments, withdrawals, leave of absence, petitions, and graduation applications.
    • Act as a liaison between students, faculty, the Registrar’s Office, and the Graduate School to facilitate student services processes.
    • Monitor student records, enrollment status, and academic progress and notify appropriate parties of issues or updates.
    • Communicate important deadlines, policies, and procedures to students.
    • Process and route required graduate forms for approvals.
    • Coordinate logistics for graduate examinations and dissertation defenses.
    • Provide basic guidance to faculty and students on use of systems such as Grad Slate and university forms.
    • Assist with routine student documentation, including funding letters and tuition waiver requests.
  • Program and Curriculum Administrative Support (15%)
    • Provide administrative support to program coordinators in maintaining program materials.
    • Update and post program information to department websites and internal systems.
    • Assist with course and curriculum updates using UGA systems following established procedures.
    • Support annual updates to the UGA Bulletin in coordination with program leadership.
  • Data Management and Reporting (10%)
    • Maintain accurate student records and files in accordance with University policies.
    • Compile routine data and reports for departmental tracking, accreditation, and program review.
    • Assist in monitoring student progression, retention, and completion data.
    • Support survey distribution and basic data collection efforts for program assessment.
Physical Demands
  • Sit at a computer for extended periods of time.

  • Some lifting of copier paper boxes.
