- Oversee the day-to-day operational functions of the Reporting Services department
- Investigate and process Writs, Levies, Restraints, Attachments, Garnishments, and child support orders while protecting confidential bank information
- Ensure document and data integrity
- Maximize available technology tools
- Prepare departmental reports
- Identify and resolve Customer Service issues
- Analyze legal requests, determine scope, and ensure Federal and State requirements are met
- Communicate and negotiate with serving attorneys or agencies to clarify documentation scope and due dates
- Notify customers when legal processes are received and request additional information as applicable
- Process payments upon receipt of orders or judgments
- Research customer information across Northwest systems to identify relationship types
- Respond to legal papers within designated time frames
- Monitor legal processes received without judgment
- Maintain records for audit purposes and keep serving agencies and internal departments informed
- Log incoming requests for tracking and control
- Process releases promptly
- Evaluate records, perform due diligence, and submit unclaimed property reports
- Review IRS B Notice reports, initiate withholding when required, ensure IRA compliance, and recertify W8
Ben records - Request and track W8
Ben recertification forms - Review IOLTA/IOLA accounts for state program compliance and report as necessary
- Submit monthly reports and interest to IOLTA/IOLA Boards
- Review new IOLTA/IOLA accounts and notify applicable states
- Process restitution checks
- Perform quality control reviews on dormant accounts
- Maintain departmental records and reports
- Recommend procedure improvements and quality control enhancements
- Ensure compliance with Northwest policies, procedures, and Federal/State regulations
- Work as part of a team
- Travel as needed for training
- High School Diploma or equivalent preferred
- Less than 2 years Reporting Services experience preferred
- 2 - 6 years related banking experience preferred
- 2 - 6 years relevant experience preferred
- Proven ability to analyze service of process requests
- Proficient time management skills
- Strong organizational, multi-tasking, and prioritizing skills
- Team player
- Ability to navigate Microsoft Office Software, computer applications, and department-specific software
- Ability to work with on-site equipment
- Ability to meet physical demands, including constant stationary positioning, operating standard office equipment, and observing; frequent repetitive motions and communication; occasional traversing; and rare grasping and positioning self to stationary objects
Demonstrates expertise in managing operational functions within Reporting Services, ensuring compliance with Federal and State regulations while maintaining data integrity and confidentiality. Proficient in analyzing legal requests and effectively communicating with stakeholders to resolve issues and improve processes.
