Infinity Physical Therapy is looking for an energetic, organized, and patient-focused Patient Service Specialist to become an important part of our growing team.
This is much more than a traditional front desk position. You will be the first friendly face our patients see, the helpful voice they hear on the phone, and a key part of making sure each patient has a smooth and positive experience from scheduling through treatment.
The ideal candidate thrives in a fast-paced healthcare environment, enjoys helping people, communicates confidently, and takes pride in keeping the office organized and running efficiently. This position also plays an essential role in verifying insurance benefits and obtaining insurance authorizations so patients can receive the care they need without unnecessary delays.
Key Responsibilities- Warmly and professionally greet patients in person and over the phone
- Create an upbeat, welcoming, and supportive environment for every patient
- Schedule and confirm patient appointments while maximizing provider schedules
- Coordinate patient scheduling to promote continuity of care and patient satisfaction
- Notify clinical staff when patients arrive and communicate schedule changes
- Explain intake forms, office procedures, and appointment expectations to new patients
- Verify patient demographics, insurance information, and admission documentation
- Verify insurance eligibility, benefits, deductibles, copayments, and coverage limitations
- Obtain, track, and maintain insurance authorizations for physical therapy services
- Monitor authorization expiration dates and approved visit limits
- Communicate with insurance companies regarding pending, denied, or additional authorization requests
- Work with therapists and administrative staff to prevent interruptions in patient care
- Collect copayments, deductibles, outstanding balances, and other patient charges
- Provide receipts and accurately document all payments
- Retrieve, update, organize, and maintain patient records
- Answer patient questions or quickly direct concerns to the appropriate team member
- Help patients feel comfortable by anticipating concerns and providing clear answers
- Assist with third-party claims and other insurance-related administrative tasks
- Maintain office supplies and assist with inventory and equipment needs
- Provide exceptional customer service to patients, families, referral sources, and coworkers
- Support the clinical and administrative teams with additional office responsibilities as needed

- Confidence communicating with patients, insurance companies, and healthcare professionals

- Previous experience with insurance verification and authorization is strongly preferred
- High school diploma or equivalent required
- Customer service experience: 3 years required
- Patient Service Specialist or medical front desk experience: 2 years preferred
- Insurance verification and authorization experience preferred
- Medical office, rehabilitation, or healthcare experience preferred
