POSITION OBJECTIVE

Working with considerable independence and under general direction, the Program Manager coordinates all general activities of community outreach and engagement in the Case Comprehensive Cancer Center and provides support to the community outreach and engagement leadership. This includes community outreach events and programming, the Community Advisory Board, and other community outreach and engagement activities. The community outreach and engagement Program Manager must exercise judgment and discretion in handling assigned responsibilities, including the ability to resolve problems, exceptions, and variations in the work of community outreach and engagement services.

Assignments may be long‑term and require the individual to rely on own resources in task accomplishment.

ESSENTIAL FUNCTIONS
  • Design and manage community outreach and engagement activities in collaboration with the Community Outreach and Engagement team; secure venues for events and coordinate speakers’ schedules; coordinate with Case Comprehensive Cancer Center marketing for event promotional materials and engage with community partners to promote events; research and secure collateral materials needed for community education.   • Manage the Case Comprehensive Cancer Center Community Advisory Board meetings; create the meeting agendas in partnership with community outreach and engagement leadership; manage logistics for Community Advisory Board meetings and all related events, including communication with Community Advisory Board members; coordinate and design the annual Community Advisory Board retreat in partnership with community outreach and engagement leadership and coordinate all logistics of the annual retreat.

  • Provide administrative and logistic support for community outreach and engagement leadership; serve as the administrative expert for internal and external constituencies on all matters pertaining to community outreach and engagement; consult and represent community outreach and engagement leadership, as designated, in communicating with internal and external constituents including preparation of correspondence.   • Administer all aspects of community outreach and engagement including planning meetings, virtual and in person: collect, organize, prepare, and distribute all agenda material; determine venues and contractors for various events and meetings; oversee negotiation terms, execution, and administration of multiple contracts with facilities vendors for services, in accordance with budget constraints and University policies and procedures; follow up on actions from the meetings, independently prepare all necessary correspondence, and then submit to community outreach and engagement and/or appropriate additional staff;

    maintain calendars by scheduling appointments, meetings, webinars, and events. (

NONESSENTIAL FUNCTIONS
  • Coordinate with the cancer center program manager on ordering supplies for community outreach and engagement events and activities; maintain accurate documentation for budget reconciliation. (5%)
  • Attend Case Comprehensive Cancer Center staff meetings and PRCHN staff meetings. (2%)
  • Perform other duties as assigned. (3%)
CONTACTS

Department:
Daily contact with community outreach and engagement staff; regular contact with Case Comprehensive Cancer Center staff for operational communication and coordinating day‑to‑day activities.
University:
Regular contact with other university administrative areas and centers at all levels for overall operational functioning of the center, including but not limited to School of Medicine‑based offices such as Human Resources, Faculty Affairs, and Central Payroll or University Technology.
External:
Frequent contact with constituents including community partners, elected officials, agencies, business, and community leaders, and vendors to provide/coordinate/exchange information.
Students:
Continuous interaction with students to exchange information.

SUPERVISORY RESPONSIBILITY

This position has no direct supervision of staff employees and may direct the work of community outreach and engagement students.
