Job Title: After School Administrative Assistant
Team: The G After 3
Reports To: After School Program Coordinator
Schedule: 2:15 PM – 6:15 PM, Monday – Friday (176 days per year)
FLSA Status: Non‑exempt (Hourly)
Salary Range: $15.00 per hour
The After School Administrative Assistant supports daily operations of the after‑school program, ensuring accurate student accountability, organized records, and exceptional customer service to students, parents, staff, and visitors. Responsibilities include managing check‑in/out checks, verifying authorized pick‑ups, maintaining attendance and documentation, and providing clerical and administrative support to keep a safe, organized, positive environment.
Responsibilities- Manage daily student check‑in and check‑out procedures accurately and efficiently
- Maintain accountability for all students enrolled in the program at all times
- Verify parent/guardian identification and ensure only authorized individuals pick up students
- Maintain accurate attendance records, student files, and program documentation
- Assist with clerical duties: making copies, answering phones, responding to emails, filing, data entry, preparing reports as needed
- Greet and welcome parents, guardians, visitors, and staff professionally and friendly
- Communicate effectively and professionally with parents/guardians regarding attendance and program updates
- Support the Program Coordinator with daily operational and administrative needs
- Maintain confidentiality of student and family information
- Manage public access to the facility and ensure campus safety procedures are followed
- Assist in monitoring students and staff during program activities as needed
- Demonstrate professionalism, reliability, and a positive attitude at all times
- Take initiative to solve problems and respond appropriately in urgent situations
- Meet assigned deadlines and complete tasks in a timely manner
- Communicate openly and work collaboratively with school personnel and after‑school staff
- Perform other related duties as assigned within appropriate skill and experience capabilities
- Must be at least 18 years old
- High school diploma or equivalent required
- First Aid and CPR Certification
- CPI (Crisis Prevention Intervention) Certification
- Child Abuse Awareness and Bullying Awareness Training
- Other designated staff training as required
- Closed‑toe athletic shoes and comfortable appropriate attire for working with children
- Staff member shirt (provided)
Duties involve walking, sitting, standing, indoor and outdoor activities, and occasional lifting. Must maintain a level of general physical and emotional health that permits effective performance of duties. Regularly lifts and carries up to 50 pounds. Requires a high level of mental alertness and ability to tolerate moderate to high levels of stress in a fast‑paced environment.

- Experience in an after school or summer program preferred
- Previous clerical, administrative assistant, or customer service experience preferred
- Strong written and verbal communication skills required
- At least 1 year(s) of relevant experience preferred
- High School/Trade School degree preferred
