Reporting directly to the Pretrial Court Services Director, responsible for performance a wide range of advanced office administration duties for the Pretrial Court Services Department.

JOB SUMMARY

Reporting directly to the Pretrial Court Services Director, responsible for performance a wide range of advanced office administration duties for the Pretrial Court Services Department.

* Funding for this position will be effective 10/01/2026.

EXAMPLES OF WORK PERFORMED
  • Provides customer service to the public and staff via telephone, email, or in person
  • Assists in annual budget process by collaborating with department leadership on equipment needs and other departmental costs for budget development
  • Assist in managing daily calendars for department leadership and department calendars
  • Creates and schedules meetings, including coordinating with both internal and external agencies on meeting availability
  • Tracks and monitors various budget reports and spreadsheets, including maintaining all financial documents related to department spending
  • Performs purchasing coordination for the department, to include reconciliation/oversight of p-card use, generating purchase requisitions, processing invoices, maintaining relationships with suppliers, serving as liaison with county Accounts Payable (A/P) and Purchasing departments, and preparing end-of-fiscal year reporting
  • Serves as the office liaison for court agendas, facility maintenance, supply orders, invoices, budget preparation, conference scheduling and travel arrangements
  • Maintains inventories and other office supplies for the department
  • Assists with updating policies and procedures
  • Prepares and submits agenda items for required purchases and approvals
  • Reviews, collects, transcribes, and processes paperwork and prepares documents for electronic use
  • Maintains department records, as well as oversees retention and storage for department files
  • Schedules meetings involving internal and external department leaders and records meeting minutes
  • Attends all meetings and trainings, as required
  • Readily complies with departmental and county-wide policies and procedures
  • Performs special duties as assigned

PHYSICAL DEMANDS

  • Position involves prolonged sitting at a workstation, reading, visual examination of documents, reaching, standing, walking, twisting, bending, repetitive motions, and occasional lifting

ENVIRONMENTAL FACTORS

  • Work is primarily indoors in an air-conditioned environment

IRREGULAR HOURS

  • Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required
  • May be deemed essential personnel in the event of an emergency

MINIMUM

QUALIFICATIONS
  • Bachelor's degree and one (1) year of office management/administration experience including two (2) years of records management experience; OR an equivalent combination of education and experience
  • Knowledge of Microsoft Office Suite

LICENSES AND CERTIFICATIONS

Required within thirty (30) days of employment

  • Valid driver’s license
  • Criminal Justice Information Services (CJIS) Awareness training

Preferred within six (6) months of employment

  • Texas Crime Information Center (TCIC) certification
  • National Crime Information Center (NCIC) certification
