Job SummaryThe Administrative Coordinator serves as the primary point of contact for the City, providing front‑line customer service and support. This role manages receptionist duties, answers frequently asked questions to reduce inquiries to departmental staff, and accurately directs visitors by understanding the functions of various departments. The Coordinator oversees scheduling, manages office supplies, maintains organized records, and administers the park reservation and event signage program.
Additionally, the role communicates with staff and the public, ensuring timely assistance and information flow. The Coordinator also supports the Court Clerk by processing traffic ticket payments and background check requests.
- Performs receptionist duties, is the first point of contact for the public, providing customer service and support.
- Answers commonly asked questions and understands departmental responsibilities in order to direct visitors/callers to the appropriate staff member.
- Provides light clerical support, including copying, filing, and mailing checks.
- Supports the Court Clerk by recording and collecting payments for court tickets, and processing background checks and signage.
- Manages office supply needs and maintains office organization.
- Manages the reservation system for park and event signage.
- Serves as a notary for the City and visitors.
- Associate’s Degree (or some college experience) minimally required.
- No supervisory responsibilities.
- Provides critical backup to other positions, namely the Court Clerk and the City Clerk, as needed.
- Proficient in Microsoft Office Suite of products, including Teams for effective communication and project coordination.
- Personality that is personable, unflappable, positive, with the ability to communicate well and deescalate a situation.
- The work is typically performed in an office.
- The work is mostly sedentary, involving sitting at a desk, answering phones, occasionally lifting light objects or packages.
- Must occasionally attend meetings outside of normal business hours.
- More than two years of related experience required.
- Ability to be bonded.
